Job Overview

We are seeking a highly organized and detail-oriented Lease and Distribution Coordinator to support our lease approval, documentation, and distribution processes.

This role requires strong communication skills, exceptional attention to detail, and the ability to proactively engage with landlords, sub dealers, and internal stakeholders. The ideal candidate will demonstrate strong reading and comprehension abilities, as the position involves reviewing lease agreements and related documents.

Key Responsibilities

  • Lease Approval Process
  • Coordinate and submit lease approvals nine (9) months in advance.
  • Request and collect store location photos to complete approval requirements.
  • Upload and submit documents through the dealer portal.
  • Record and maintain accurate lease approval data.
  • Lease Documentation & Filing
  • Organize and electronically file all lease documentation.
  • Maintain an up-to-date "All Stores File" reflecting the current distribution footprint.
  • Record detailed information about entities, owners, and associated codes.
  • Lease Contact & Negotiation
  • Maintain accurate contact information and records on all leases.
  • Communicate directly with landlords and stakeholders regarding lease terms.
  • Assist with negotiations, secure signatures, and ensure agreements are properly documented.
  • Distribution Requests
  • Submit distribution requests in the portal and follow through on requirements.
  • Track Exhibit A and Certificates of Insurance (COIs).
  • File RTPAY paperwork on behalf of sub dealers and direct partners.
  • Ad Hoc Projects
  • Support new construction projects, including coordination and project management tasks.
  • Investigate and resolve lease-related issues such as underpayments, disputes, or compliance matters (e.g., ADA requirements).

Qualifications & Skills

  • Strong fluency in reading and comprehension (experience with leases or legal documents preferred).
  • Excellent organizational skills with strong attention to detail.
  • Proactive communicator with the ability to collaborate effectively with internal and external partners.
  • Ability to prioritize, manage multiple projects, and meet deadlines.
  • Problem-solving mindset and flexibility to support ad hoc tasks.

Job Type: Full-time

Pay: From Php60,000.00 per month
