Your Role Manage all email and phone enquiries from new and existing clients, including scheduling, changing appointments, and client communications Experience with discussing confidential and sensitive information with potential clients and helping them feel safe and comfortable. Handle phone calls, emails, and other administrative tasks to support the smooth functioning of the practice. Provide high-level support to the Lead counsellor, including calendar management, correspondence, and preparing documents or reports. Support with financial operations and admin tasks, such as ensuring all client sessions have been paid, keeping accurate records of expenses and income. Follow up with clients and companies to confirm payments. Format, proofread, and schedule high-quality social media content for Instagram and Facebook using pre-existing templates on Canva. Update the website with small administrative updates, such as adding new products to the online store, updating team bios, and adding worksheets and resources. Helping schedule blogs on the website and proofreading and formatting documents, and client-facing worksheets. What You Need Non-negotiables: Previous experience as an administrative assistant, health care receptionist, or executive assistant Experience with Google Calendars is essential Experience with Xero and Microsoft Excel is essential. High Proficiency or ability to quickly learn a wide variety of office software and website tools (e.g., Pracsuite, Xero, Canva, Webflow, Microsoft Office, Google Calendar, Google Drive) and social media platforms (YouTube/Meta/Instagram/Facebook) High school diploma or equivalent required; additional qualifications in medical or healthcare administration and working for a small business are a plus. Preferred Skills/Expertise: Healthcare office experience (for example, for a psychologist, counsellor etc) is highly preferred. Experience working with Australian companies is preferred.
