Responsibilities: Manage calendars, coordinate internal/external meetings, and handle meeting logistics across multiple time zones Prepare briefing materials, agendas, and presentations in advance of meetings Organize and coordinate travel arrangements, including flights, accommodations, and itineraries Draft, review, and manage communications on behalf of executives (emails, memos, follow-ups & bidding documents) Coordinate events including meetings, in-house activities, and off-site events Interface with key stakeholders and support the leadership team Prepare presentation documents and reports for management and other team members Support the execution of strategic projects and initiatives as needed Support broader Operations team on ad hoc projects, documentation, and task management Maintain and update internal documents, shared folders, and team resources Handle any other ad hoc tasks or projects as assigned Qualifications: A “can-do” attitude towards work. 1 - 3 years of work experiencewith abackground in executive and office administrationacross multiple time zones Excellent computer skills particularly in office admin tools (e.g. Google Suite and Microsoft Office Suite / Microsoft 365), and willingness to learn other tools or platforms. Experience with note-taking in meetings High attention to detail, excellent time management skill, and ability to be flexible in response to changing priorities Excellent command of oral and written English and the ability to communicate clearly and effectively with senior leaders and external business partners High level of independence, autonomy, confidentiality and professionalism #J-18808-Ljbffr
