About the Client Our Client is a Property Management Company in Houston, Texas. About the Role The Administrative Assistant will provide high-level administrative and organizational support to ensure the smooth and efficient operation of office and property management functions. This position plays a key role in maintaining organized systems, supporting vendor relations, assisting with financial reporting, and coordinating project documentation. The ideal candidate is proactive, detail-oriented, highly organized, and skilled in Microsoft Office applications. This role requires excellent communication, time management, and the ability to manage multiple priorities with minimal supervision. Responsibilities Administrative Support Organize and maintain an online office filing system to ensure accessibility and proper documentation. Provide general administrative support, including scheduling, correspondence, and document preparation. Assist with coverage duties when required in the office. Maintain and update all vendor-related files and records. Assist with vendor contract administration, including renewals, compliance tracking, and digital organization. Support communication between vendors, management, and other departments. Financial & Billing Support Assist with billing processes, including invoice reviews and data entry. Support financial reporting by gathering, organizing, and inputting data as needed. Maintain accuracy and confidentiality in handling financial information. Other Duties Provide support in all areas typically handled by an administrative assistant, including office coordination, document formatting, and data management. Perform other duties assigned to support the overall operations and efficiency of the team. Qualifications Proficient in Microsoft Excel, Word, and Outlook; experience with shared drive systems or cloud storage (e.g., SharePoint, OneDrive, Google Drive) preferred. Strong organizational and multitasking skills with attention to detail. Excellent written and verbal communication skills. Ability to work independently and maintain confidentiality. Experience with vendor coordination, financial data entry, or project support is highly desirable. It is a remote position, and the working Hours will be 8:00 am - 5:00 pm, 5-Days work week.
