About the role:

CIBI is looking for an HR Assistant , who will provide crucial administrative and operational support to our Human Resources department. This role is suitable for a highly organized and detail-oriented professional who can manage multiple tasks and contribute to a positive and efficient workplace. The HR Assistant will be a reliable point of contact for employees and an essential partner to the HR team, handling sensitive information with discretion and applying a solid understanding of HR functions.

Responsibilities
  • Recruitment & Onboarding: Assist in processing new hire paperwork.
  • Employee Records & Databases Management: Maintain accurate, confidential, and up-to-date employee records, including personal details, employment contracts, and benefits information.
  • Payroll & Benefits: Process benefits documentation and application.
  • Training & Development: Help organize and coordinate training sessions, seminars, and new employee orientation programs.
  • Administrative Tasks: Schedule HR meetings, manage calendars, and provide general administrative support to the department.
  • Compliance: Help ensure the company is compliant with labor laws and internal policies by maintaining accurate records and staying updated on HR best practices.
  • HR Documentation: Help prepare and manage various HR documents.
  • HR Communication: May serve as point of contact between HR department and employees and ensure clear and timely communication regarding HR matters.
  • Event Coordination: Assist in organizing and coordinating HR-related events, trainings, and seminars.
  • Information Security: Ensure compliance with the information security management system (ISMS) by protecting data, managing access, attending necessary training, and promptly reporting security incidents.
  • Other duties: Perform related duties as assigned by management, consistent with the position's responsibilities.
Job Specifications Educational Background
  • Bachelor's degree in Human Resources, Business Administration, Psychology, or a related field
Qualifications
  • At least one (1) year of experience in an administrative assistant or similar role
  • Amenable to work under Fixed Term Contract (5 months)
  • Amenable to work in Makati (M-F onsite)
Technical Skills
  • Proficient in Microsoft Office Suite (Word, PowerPoint, Excel) and GSuite applications
  • Employee Record Management and tracking
  • Information Security Awareness
  • Attention to Details: Meticulous approach to work, ensuring accuracy and integrity of records and data
  • Confidentiality: Commitment to upholding employee privacy and handling sensitive information with discretion
  • Technical Proficiency: Competence in Microsoft Office Suite and familiarity with HR databases or software
  • Organizational and Time Management: Ability to manage multiple tasks, records, and deadlines in a fast-paced environment
  • Communication: Good written and verbal communication skills to interact professionally with employees and job candidates
