About the role
:

CIBI is looking for an
HR Assistant,
who will provide crucial administrative and operational support to our Human Resources department. This role is perfect for a highly organized and detailed-oriented professional who can manage multiple tasks and contribute to a positive and efficient workplace. He/she will be a reliable point of contact for employees and an essential partner to the HR team. This role requires someone who can handle sensitive information with the utmost discretion and has a solid understanding of HR functions.

DUTIES AND RESPONSIBILITIES

  • Recruitment & Onboarding:
    Assist in processing new hire paperwork.
  • Employee Records & Databases Management:
    Maintain accurate, confidential, and up-to-date employee records, including personal details, employment contracts, and benefits information.
  • Payroll & Benefits:
    Process benefits documentation and application
  • Training & Development
    : Help organize and coordinate training sessions, seminars, and new employee orientation programs.
  • Administrative Tasks:
    Schedule HR meetings, manage calendars, and provide general administrative support to the department.
  • Compliance:
    Help ensure the company is compliant with labor laws and internal policies by maintaining accurate records and staying updated on HR best practices.
  • HR Documentation:
    Help prepare and manage various HR documents.
  • HR Communication
    : May serve as point of contact between HR department and employees and ensure a clear and timely communication regarding HR matters.
  • Event Coordination:
    Assist in organizing and coordinating HR-related events, trainings, and seminars.
  • Ensure compliance with the information security management system (ISMS) by protecting data, managing access, attending necessary training, and promptly reporting security incidents.
  • Performs other related duties as may be assigned by management from time to time, consistent with the purpose and level of responsibility of the position.

JOB SPECIFICATIONS

Educational Background

  • Bachelor's degree in Human Resources, Business Administration, Psychology, or a related field is typically required

Qualifications:

  • At least (1) year of experience in an administrative assistant or similar role.
  • Can start immediately
  • Amenable to work Under Fixed Term Contract (5 months)
  • Amenable to work in Makati (M-F onsite)

Technical Skills

  • Proficient in Microsoft Office Suite (Word, PowerPoint, and Excel) and GSuite applications
  • Employee Record Management and tracking
  • Information Security Awareness

    Good written and verbal communication skills to interact professionally with employees and job candidates.
