About the role

CIBI is looking for an
HR Assistant,
who will provide crucial administrative and operational support to our Human Resources department. This role is perfect for a highly organized and detailed-oriented professional who can manage multiple tasks and contribute to a positive and efficient workplace. He/she will be a reliable point of contact for employees and an essential partner to the HR team. This role requires someone who can handle sensitive information with the utmost discretion and has a solid understanding of HR functions.
DUTIES AND RESPONSIBILITIES
- Recruitment & Onboarding:
Assist in processing new hire paperwork. - Employee Records & Databases Management:
Maintain accurate, confidential, and up-to-date employee records, including personal details, employment contracts, and benefits information. - Payroll & Benefits:
Process benefits documentation and application - Training & Development
: Help organize and coordinate training sessions, seminars, and new employee orientation programs. - Administrative Tasks:
Schedule HR meetings, manage calendars, and provide general administrative support to the department. - Compliance:
Help ensure the company is compliant with labor laws and internal policies by maintaining accurate records and staying updated on HR best practices. - HR Documentation:
Help prepare and manage various HR documents. - HR Communication
: May serve as point of contact between HR department and employees and ensure a clear and timely communication regarding HR matters. - Event Coordination:
Assist in organizing and coordinating HR-related events, trainings, and seminars. - Ensure compliance with the information security management system (ISMS) by protecting data, managing access, attending necessary training, and promptly reporting security incidents.
- Performs other related duties as may be assigned by management from time to time, consistent with the purpose and level of responsibility of the position.
JOB SPECIFICATIONS
Educational Background
- Bachelor's degree in Human Resources, Business Administration, Psychology, or a related field is typically required
Qualifications:
- At least (1) year of experience in an administrative assistant or similar role.
- Can start immediately
- Amenable to work Under Fixed Term Contract (5 months)
- Amenable to work in Makati (M-F onsite)
Technical Skills
- Proficient in Microsoft Office Suite (Word, PowerPoint, and Excel) and GSuite applications
- Employee Record Management and tracking
- Information Security Awareness

Meticulous approach to work, ensuring the accuracy and integrity of all records and data. - Confidentiality:
A strong commitment to upholding employee privacy and handling sensitive information with discretion. - Technical Proficiency:
Competence in using Microsoft Office Suite (Word, Excel, Outlook) and familiarity with HR databases or software. - Organizational and Time Management:
Ability to manage multiple tasks, records, and deadlines efficiently in a fast-paced environment. - Communication:
Good written and verbal communication skills to interact professionally with employees and job candidates.
