Property Management Assistant - Document Control On-site - Makati Fresh Graduate/Student Bachelor Full-time Job Description Role Overview A Property Management Assistant – Document Control is responsible for organizing, maintaining, and ensuring the accuracy of all departmental documents. This role enforces condominium standards and regulatory requirements to support seamless transactions and timely deployment of maintenance personnel for unit renovations and tenant concerns. Key Responsibilities Create “Final Cost” documents to calculate deductions from tenant security deposits. Manage full-cycle Condominium Expense Reporting, ensuring accurate and precise delivery of financial statements to unit owners. Receive, record, and monitor tenant concerns, ensuring adherence to specified availability dates. Coordinate and conduct unit inspections alongside the Construction Team. Generate work permits for unit renovations, restoration, and tenant concerns. Organize and maintain electronic and physical document filing systems. Review incoming documents for completeness and compliance with regulatory standards. Archive and retrieve records in accordance with retention schedules. Assist in drafting and updating standard operating procedures and templates. Coordinate with compliance teams on document-related inquiries. Support tenant onboarding and offboarding by preparing lease files and handover documents. Assist the Assistant Property Manager in executing day-to-day property management responsibilities. Qualifications Bachelor of Science in Business Administration or related field. Preferably Fresh graduates with relevant internships or project experience. Strong attention to detail and commitment to accuracy. Proficiency in MS Word, Excel, and Google Sheets. Effective organizational skills for managing physical and digital files. Clear verbal and written communication skills with an ability to collaborate across teams. Ability to follow established procedures and meet strict deadlines.
