Job Summary
We are looking for a meticulous and well-organized Administrative Assistant to offer administrative and clerical support to facilitate the smooth functioning of the office. The perfect candidate will be proactive, resourceful, and capable of managing a range of office tasks with precision and efficiency.
Duties and Responsibilities- Office Management: Organizing and managing both physical and digital filing systems and databases.
- Office Management: Upholding office policies and procedures.
- Office Management: Purchasing office supplies and overseeing inventory management.
- Office Management: Coordinating maintenance and repair activities for the office.
- Communication & Correspondence: Answering and directing incoming phone calls.
- Communication & Correspondence: Managing and forwarding emails, faxes, and other forms of correspondence.
- Communication & Correspondence: Welcoming and assisting visitors and clients.
- Communication & Correspondence: Composing, proofreading, and editing various documents, reports, memos, and presentations.
- Scheduling & Coordination: Overseeing calendars and organizing appointments and meetings.
- Scheduling & Coordination: Planning and coordinating meetings, conferences, and company events.
- Scheduling & Coordination: Taking precise meeting minutes and distributing them accordingly.
- Scheduling & Coordination: Arranging travel plans and itineraries, covering flights, hotels, and transportation.
- Financial & Administrative Support: Preparing and reconciling expense reports.
- Financial & Administrative Support: Assisting with basic bookkeeping duties such as processing invoices and monitoring budgets.
- Financial & Administrative Support: Providing general assistance to other staff members and departments as required.
- Financial & Administrative Support: Handling sensitive information with care.
- Proficiency in office applications, especially the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) or Google Workspace.
- Strong typing and data entry abilities.
- Familiarity with office management systems and protocols.
- Exceptional written and oral communication skills.
- Strong organizational and time-management skills.
- High attention to detail and effective problem-solving capabilities.
- Capacity to multitask and effectively prioritize responsibilities in a busy environment.
- A professional and courteous demeanor coupled with excellent interpersonal skills.
- A high school diploma is generally required, with an associate\'s or bachelor’s degree often preferred.
- Demonstrated work experience as an administrative assistant, office assistant, or in a comparable role is essential.
