Job Description

The Admin and Liaison Officer is responsible for providing administrative support to ensure efficient operation of the office. This role also acts as the main point of contact between the organization and external stakeholders, including government agencies, suppliers, service providers, and partner organizations. The officer ensures smooth coordination and compliance with relevant regulations and standards.

Responsibilities

Administrative Functions:

  • Manage office supplies, equipment, and facilities to ensure a well-organized work environment.
  • Prepare and maintain records, reports, and documents.
  • Assist in scheduling meetings, appointments, and managing calendars.
  • Handle incoming and outgoing correspondence.
  • Support HR tasks such as filing of employee records, tracking attendance, and organizing trainings.
  • Organize and maintain filing systems (physical and digital).
  • Coordinate logistics for company events, travel, and training sessions.
  • Assist in dealings with government agencies (e.g. BIR, SEC, SSS, PhilHealth, Pag-IBIG, LGUs) and ensure timely processing of permits, licenses, and other legal documents.
  • Facilitate communication and coordination between internal departments and third parties.
  • Follow up on documentation, applications, renewals, and compliance requirements.
  • Act as company representative during external meetings or inspections.
Qualifications
  • Bachelor’s degree in Business Administration, Public Administration, or related field.
  • At least 2–3 years of relevant experience in administrative or liaison work.
  • Strong communication and interpersonal skills.
  • Good organization and multitasking abilities.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Familiarity with local government processes and regulatory compliance.
  • Trustworthy, proactive, and detail-oriented.
  • Experience handling government documentation and corporate compliance.
  • Ability to work independently and maintain confidentiality.
