Job Summary

We are seeking a detail-oriented and proactive Purchasing & Inventory Planning Coordinator to join our team. This role is critical in supporting field operations by serving as the first point of contact for calls from field teams, ensuring timely material availability, and optimizing inventory levels through accurate tracking, forecasting, and supplier coordination.

Work Setup

• Fully remote – work from anywhere
• Observing Arizona Time Zone (Night Shift in PH)

Job Responsibilities

Field Purchasing & Call Support

• Serve as the primary point of contact for incoming calls from install teams, technicians, and managers via OpenPhone
• Provide real-time support to field teams by addressing purchasing needs, clarifying requirements, and resolving urgent requests
• Accurately record and process all field purchases in the Finale Inventory system to improve AP accuracy and efficiency

Inventory Data Management & Reporting

• Maintain precise records of field purchases, warehouse stock levels, and supplier availability
• Generate and distribute regular reports on field purchasing activity, consumption trends, and stock positions
• Collaborate with local operations and procurement teams to ensure the right materials are stocked in the right locations at the right time
• Monitor supplier inventory levels for key components and flag potential shortages or surpluses
• Maintain and update forecasting and pipeline tracking tools to align supply with demand
• Prepare stock re-allocation recommendations to optimize inventory distribution across locations
• Calculate and report weeks-of-inventory metrics for critical items to inform purchasing decisions and reduce stockouts

Process Improvement

• Identify opportunities to streamline material acquisition processes to improve field efficiency
• Recommend adjustments to purchasing strategies based on supplier performance, lead times, and forecast accuracy

Required Skills & Qualifications

• Excellent verbal and written communication skills with a strong customer service mindset
• Proven experience handling call support or dispatch-type roles preferred
• Strong attention to detail and accuracy in data entry
• Proficiency with inventory management systems (Finale Inventory experience preferred)
• Ability to analyze data and generate actionable reports
• Working knowledge of Google Sheets or Excel (formulas, data sorting, and basic reporting)
• Basic understanding of solar and electrical components is a plus
• Strong problem-solving skills and the ability to support field teams in real time
