Job Title Operations Manager Position Summary The Operations Manager oversees and ensures the smooth, efficient, and profitable operations of all VERA. Dental Clinic branches. This role is responsible for supervising and coordinating the work of Branch Supervisors, Branch Receptionists, Branch Clinic Assistants, and Branch Dental Assistants. The Operations Manager ensures that all branches operate according to company standards, deliver exceptional patient care, and maintain compliance with policies, procedures, and regulatory requirements. Guarantee operational readiness and availability of all clinic equipments, tools and supplies. Key Responsibilities Branch Operations Management Oversee daily operations of all dental clinic branches to ensure smooth workflow, optimal patient experience, and operational efficiency. Ensure all branches strictly follow company policies, standard operating procedures (SOPs), and brand service standards. Monitor clinic cleanliness, organization, and readiness for patient service at all times. Implement strategies to improve operational efficiency and reduce costs without compromising quality. Staff Supervision & Performance Management Directly supervise all Branch Supervisors and ensure they effectively manage Receptionists, Clinic Assistants, and Dental Assistants. Conduct regular performance evaluations, coaching, and mentoring for branch teams. Address staff concerns, resolve conflicts, and maintain high morale across all branches. Ensure proper scheduling, attendance, and productivity of branch personnel. Patient Service Excellence Ensure all patient interactions—from reception to treatment—are professional, courteous, and aligned with VERA. Dental Clinic’s brand values. Monitor and address patient feedback, complaints, and concerns promptly. Implement training programs to improve customer service skills of front-line staff. Compliance & Quality Assurance Ensure all branches comply with health, safety, and dental practice regulations. Oversee proper handling and maintenance of dental equipment, tools, and materials. Ensure strict adherence to sterilization protocols and infection control standards. Conduct branch audits and spot checks to ensure operational and service quality. Sales & Financial Monitoring Monitor all daily sales reports from each branch to ensure they are complete, accurate, and error-free. Coordinate with the Finance Department to address any discrepancies immediately. Ensure timely submission of sales-related documents and reports. Coordination & Reporting Act as the communication bridge between the COO/Management and branch teams. Prepare and submit operational reports, including branch performance, patient volume, and operational issues. Coordinate with other departments (HR, Marketing, Finance, Facilities) to support branch needs. Training & Development Identify training needs and recommend development programs for branch staff. Organize regular workshops to enhance operational skills, patient care, and teamwork. Problem-Solving & Decision-Making Handle escalated operational issues from branches and resolve them promptly. Make informed decisions that positively impact patient satisfaction, staff efficiency, and branch profitability. Qualifications Bachelor’s degree in Business Administration, Management, or related field. Minimum of 5 years’ experience in multi-branch operations management, preferably in healthcare or dental services. Strong leadership, organizational, and communication skills. Ability to handle multiple tasks and work under pressure. Proficiency in MS Office and clinic management systems.
