This position is intended to support ongoing procurement requirements for a specific project period or scope. Duties and Responsibilities Assist in sourcing activities, including canvassing suppliers, gathering quotations, and preparing bid summaries. Support Procurement Executives in facilitating purchase requisitions and ensuring completeness of documentation. Coordinate with user departments for technical specifications and procurement timelines. Participate in basic vendor negotiations under the guidance of Procurement Executives. Tender and Contracting Process Help prepare and issue Requests for Quotation (RFQ), Requests for Proposal (RFP), and other tender documents. Assist in tender opening, documentation, evaluation, and preliminary vendor assessment. Support the preparation of contract drafts and monitor contract approval routing. Vendor Management & Compliance Supports the vendor database management, onboarding new suppliers, and supplier documentation gathering (e.g., BIR forms, company profile). Assist in resolving billing or invoice issues with vendors. Administrative and Reporting Tasks Ensure proper filing and recordkeeping of procurement-related documents, both in hard copy and electronic systems. Encode data into ERP or procurement tracking systems as needed. Qualifications Bachelors degree in Business Administration, or a related field. At least 1-3 years of relevant experience in procurement, or administrative support roles. Proficient in Microsoft Office tools (Excel, Word, PowerPoint). Familiarity with procurement systems or ERPs is a plus. Strong organizational skills and keen attention to detail. Good communication and coordination skills. High ethical standards and a commitment to compliance.
