Recruitment Sourcing Officer | Talent Acquisition Strategist | Candidate Pipeline Expert | HR Professional Role Overview: We are seeking a highly organized and detail-oriented Admin/Finance Virtual Assistant to support day-to-day financial operations and administrative functions. This role combines bookkeeping, invoicing, and financial reporting with administrative coordination that supports smooth business operations. The ideal candidate will work closely with the business owner and existing administrative staff to ensure accurate financial management, timely client invoicing, and efficient tracking of business performance. Experience working with Australian clients, including BAS and GST processes, is highly preferred. Job Highlights Schedule: Monday to Fridays, 8:00 AM - 5:00 PM with 1 unpaid break | Australian Eastern Time Work Arrangement: Work from home Side note: Since this is a permanent work-from-home position and an “Independent Contractor” arrangement, the candidates must have their own computer and internet connection. They will handle their own benefits and taxes. The professional fees are on hourly rates and the rate depends on your performance in the application process. Role Objectives: Prepare and issue client invoices accurately and on time. Track and reconcile purchase orders, payments, receivables, and payables. Perform bank reconciliations and ensure all transactions are properly recorded. Maintain organized financial records, ensuring data integrity and compliance. Prepare weekly profit and loss summaries for business performance tracking. Assist in BAS (Business Activity Statement) preparation, including GST reporting. Support quarterly and annual financial submissions by liaising with accountants or bookkeepers. Handle simple payroll tasks, such as drafting or finalizing payroll runs. Follow up on accounts and produce a regular ageing report to avoid non paying accounts. Verify supplier invoices and produce a bi‑weekly report of payables. Maintain documentation for subcontractor payments (TPAR) and receipts. Over time assist with process improvements and creating SOPs. Administrative Support Update and maintain internal tracking systems, especially related to storage services and billing schedules. Ensure customers are billed accurately and regularly for ongoing services. Support documentation management, file organization, and data entry tasks. Provide backup administrative support to the customer service team when needed. Coordinate with internal and external stakeholders to ensure seamless operations. Qualifications Proven experience as a Finance or Admin Virtual Assistant, Bookkeeper, or similar role. Experience working with Australian businesses (required). Familiarity with BAS, GST, and Superannuation processes. Proficiency in Xero, QuickBooks, or similar accounting tools. Strong understanding of invoicing, reconciliation, and cash flow tracking. Certification or coursework in Bookkeeping or Accounting. Experience preparing or assisting with BAS statements. HMO Coverage in eligible locations. Permanent work from home. Immediate hiring.
