This is a remote position with permanent day shift.

Overview: Virtual Assistant for a legal firm providing administrative support to help the client stay organized and focus on higher-level tasks. The role is remote and part-time at start, with potential progression to full time.

Responsibilities:

  • Provide timely and accurate administrative support to the client
  • Load and update client information in the Clio portal; create templates from precedents
  • Route calls, take messages, and coordinate with other departments as needed
  • Data entry to create templates and matters in Clio
  • Draft emails and documents; manage correspondences
  • Post content on social media as required
  • Support general administrative systems and processes; maintain organized files
  • Chase settlement letters and perform legal research as needed
  • Schedule and coordinate staff meetings; manage calendars and emails
  • Respond to service inquiries on social media and liaise with stakeholders

Qualifications:

  • 1–2 years of relevant experience in administrative support, preferably in the legal industry
  • Experience using Clio software is a MUST
  • Strong communication and interpersonal skills; high attention to detail
  • Ability to work autonomously and as part of a team
  • Social media savvy; good report writing skills; background in minute taking

General tasks:

  • Creating templates on Clio; updating client information; data entry and matters creation
  • Managing email and calendar; handling calls; organizing documents

Work schedule: 9:00–17:00 AEST; potential to progress to full-time; starting at 30 hours/week; hourly rate AUD 7–8

Job 2: Executive Virtual Assistant – Bookkeeping & Project Coordination (Real Estate & Construction Focus)

Type: Part-Time; Location: remote

Overview: A dedicated, full-time style virtual assistant focused on bookkeeping, construction project coordination, and general administrative support. Requires proactive, detail-oriented work with strong QuickBooks experience and familiarity with construction software.

Key Responsibilities:

  • Bookkeeping & Finance: QuickBooks for financial records, monthly reconciliations, expense categorization, invoice management, accounts payable/receivable, leadership reports
  • Project Management Support: Use Build-A-Trend or similar software to support project updates, timelines, and documentation; coordinate with contractors and vendors; track budgets and deadlines
  • Administrative Tasks: Manage email/calendar across time zones, coordinate travel, organize files, create SOPs, track tasks; provide light social media support
  • Cross-Business Support: Potentially support admin/bookkeeping for another service-based business; adapt to shifting priorities

Qualifications:

  • Strong QuickBooks knowledge; construction or service-industry accounting experience a plus
  • Familiarity with project management platforms (Build-A-Trend, Monday.com, Asana, or similar)
  • Excellent written and verbal English communication; highly organized with multi-priority management
  • Strong work ethic aligned with Filipino cultural values of integrity and reliability
  • College degree preferred
