Project Manager

Overview We’re looking for an Project Manager to join our growing team at Adamant Code , an AI development agency building tools that solve real-world problems. Adamant Code was founded in 2023 to help startups and enterprises build practical, impactful AI tools. We’re a team of six (plus a few trusted contractors) working on multiple projects simultaneously, from document intelligence systems and recommendation engines to RAG chatbots , voice agents , and AI-driven dashboards . We work in 2‑week sprints , with structured rituals, clear metrics, and constant iteration. We’re growing quickly, and this role is an opportunity to join at the ground floor and help shape the delivery systems that will power our next stage of growth. The Role As our Project Manager , you’ll own the delivery cadence across up to 10 concurrent projects . You’ll ensure every sprint, meeting, and milestone runs predictably, communicating with clients, coordinating with our developers, and continuously improving how we plan, track, and deliver. You’ll report directly to the CEO and CTO , work closely with both daily, and have a real voice in how our operations evolve. Run the delivery cadence : plan sprints, lead standups, reviews, and retrospectives for multiple projects. Lead client communication : host weekly/biweekly status calls, maintain agendas, decisions, and next steps. Coordinate resourcing : maintain a rolling 6‑week capacity plan; propose swaps and hiring needs early. Control scope & timelines : manage change requests, estimate impacts, and elevate when needed. Track performance : build and maintain ClickUp dashboards with various metrics. Maintain quality gates : enforce Definition of Ready/Done and coordinate with QA for pre‑release testing. Standardize processes : document SOPs for discovery, estimation, sprint rituals, KPI tracking, and bug reporting. Run discovery workshops and KPI sessions for new projects. Optimize operations : automate reporting, unify dashboards, and improve predictability across all projects. Sprint cadence: 2‑week sprints (planning on Monday, review on Friday). Tools: ClickUp, Slack. Meetings: daily internal standups + weekly client calls. Requirements Must-haves 3+ years of experience as a Project Manager / Delivery Manager in software or agency environments. Excellent English communication skills — verbal and written. Proven experience managing projects in agile or scrum environments. Strong command of Scrum rituals , story point estimation (Fibonacci), and sprint forecasting. Proficiency with ClickUp, Jira, or similar tools . Skilled in client communication , reporting , and conflict resolution . Data‑driven mindset: you measure success through metrics, not opinions. Nice-to-haves Experience working in AI/ML, SaaS, or data‑heavy projects . Knowledge of agile delivery metrics (velocity, predictability, CFR, defect rates). Familiarity with process automation inside ClickUp or similar tools. Love structure, documentation, and improving systems. Thrive when juggling multiple priorities and deadlines.
