Job Description:
1. Documentation Management:
· Maintain and organize all project documentation, including schedules, contracts, permits, forms, formal letter, approved drawings
· Ensure that all project documents are up to date and accessible to relevant team members

2. Resource management
· Assist in managing project resources such as materials, personnel, tools, and equipment
· Prepares requisition of materials
· Responsible for inventory of materials – in and out monitoring and recording
· Responsible for inventory of MQ tools and equipment – in and out monitoring
· Report to PIC/PM if there are any defective materials/tools

3. Budget Tracking
· Help track project expenses and ensure that they are align with the budget
· Reports any budget variances to the project-in-charge/project manager
· Handles requests for payment and petty cash vouchers
· Submits weekly budget report to PIC/ PM

4. Record Keeping
· Maintain accurate records of project-related activities, decisions, and communications

5. Procurement support
· Canvas and look for suppliers of items needed for installation in close coordination with Project-in-Charge if technical specifications are met
· Assist in procurement process by tracking order, deliveries, and vendor communications
· Coordinate with back office to assign personnel and vehicle regarding delivery of materials and equipment from MQ office to site
· Send follow ups to Back Office on all project requisitions

6. Compliance and Permits
· Ensure that all necessary permits and approvals are in place and up to date

7. Closeout Activities:
· Assist in the project closeout process by documenting final inspections and ensuring that all necessary paperwork is completed.
