Asset Management and Compliance Specialist (Hybrid)

1. Primarily handles all importations across Acquire sites, including the filing, processing, and/or coordinating the import registration and clearance with the following:
a. Optical Media Board
b. National Telecommunications Commission
c. Philippine Economic Zone Authority
d. Bureau of Customs
e. Value Added Services such as eKonek and intercommerce
f. Third party logistic partners
g. Other Philippine and Australian stakeholders

2. Proper filing and documenting the importation documents and coordinating with the recipients

3. Responsible for filing of PEZA 8105 and PEZA 8106 for the movement of assets for all Acquire sites including the following:
a. verifying the invoices and supporting documents of the assets;
b. coordinating the requirements to cover the movement of the assets with the PEZA;
c. filing the letter of approval with the PEZA;
d. filing the PEZA 8105 and PEZA 8106 with the PEZA and BOC;
e. completing the conditions for the transfer of the assets;
f. completing the bond requirements with the surety providers and ensuring that the bond is up to date;
g. filing the WFH reports with the PEZA;
h. assistance in the inspection of the PEZA and BOC of the assets to be transferred or disposed
i. sourcing of PEZA-registered scrap buyers; and
j. coordination with various stakeholders.

4. Primarily handles and/or assists in the renewal of annual registration and/or certifications across all Acquire sites and all government agencies including the following:
a. Bureau of Customs including lifting of abandonment
b. Optical Media Board
c. National Telecommunications Commission
d. PEZA including the VAT Zero Rating Certifications, Available Incentives, 5% GIT, and CETI
c. Business permits, barangay clearance, sanitary permit, environmental permit, community tax certificate, and other ancillary permits
d. Coordinating and/or updating other departments for the updated permits
e. Ensuring that the aforementioned permits are filed and/or up to date.

5. Assistance in various legal work across all Acquire sites and all government agencies including the following:
a. For the Philippine Economic Zone Authority:
i. filing and coordinating various letters of authority including the transfer of operations, local sale, and other request
ii. filing and compiling the documents required for the approval of start of commercial operations, base figure, and/or income tax holiday entitlement.
iii. Filing, compiling the documents and coordinating with different departments such as the Zone Office NCR, Enterprise Services Division, Incentives Management Division, Enterprise Registration Department, Office of the Board Secretary, Office of the Director General, and other departments.
b. For the local government units and barangay:
i. filing and compiling documents required for the transfer or retirement of operations
ii. filing and compiling documents required to update the registration details
c. For the Bureau of Internal Revenue
i. filling documents requested by the BIR examiners;
ii. Assistance in filing and compiling documents to support the update and/or amendment of the registration with the BIR
iii. Registration and de-registration with the BIR
d. For the Securities and Exchange Commission
i. filling documents requested by the SEC
ii. Assistance in filing and compiling documents to support the update and/or amendment of the registration with the SEC.

6. Assisting the Legal and Compliance Manager with the filing and documentation including the notarial services.

7. Assistance in securing the notarization of various documents including affidavits, secretary's certificate, director's certificate, certifications, agreements, and other papers and/or forms required by various stakeholders.

8. Ensuring that all documents, forms, and papers are properly filed, secured, and in order.

9. Other tasks that may be assigned by the Asset Manager and Legal and Compliance Manager.

A BIT ABOUT YOU


• Preferably a Certified Systems Broker for importation.

• W/ relevant experience

• Previous experience in dealing with PEZA (Philippine Economic Zone Authority) and BOC (Bureau of Customs).

• Preferably Prior work experience with LGUs (Local Government Units), providing insight into their processes and facilitating smoother interactions and compliance.

• Strong organizational skills to manage extensive documentation and records accurately.

• Ability to leverage existing relationships to enhance efficiency and streamline processes.

• Proven ability to maintain and develop strong relationships with stakeholders, including government agencies and third-party logistics providers.

• Flexibility to work or travel as needed to meet job requirements and coordinate with various stakeholders.
