  • Candidate must be a graduate of any business-related course.

  • Must be a holder of a valid driver's license.

DUTIES AND RESPONSIBILITIES:

  • Performs administrative tasks and logistics support particularly room reservations, hotel bookings, and travel requests of the company; Performs other secretarial and administrative support functions for executives & managers by scheduling appointments/meetings and conferences; coordinates arrangement and setting-up of meeting rooms; notifies/reminds participants of meeting; prepares and/or assembles meeting materials in order to provide support to employee requirements.
  • Provides broad variety of administrative support and assistance to the needs of the President /EVP such as organizing and scheduling of meetings and events, processing of travel arrangement ; follow-throughs on projects,etc. in order to ensure productive, efficient and smooth flow of his day to day activities.
  • Safekeeps, organizes and maintains specialized and custom forms; records, reports, files and logs parcels for the executive office; designs, develops and maintains spreadsheets requiring data interpretation and manipulation; creates, maintains and updates file indexes; removes and archives inactive records or files; copies, compiles contracts, reports, documents related materials in order to support technical work processes in areas of assigned responsibility.
  • Performs routine maintenance activities and notifying management of need for repairs or purchase; maintains the thorough cleanliness and orderliness of the office and its vicinity at all times as assigned; acts as direct custodian of (EO) office and pantry supplies, utensils, wares, etc., ; opens and closes the office during workdays and other days as instructed by management in order to ensure that the office safe and secured at all times.
  • Manages the company mails and billings and prepares expense report; requests for payment of utility bills (i.e. Phone, water, electricity and space rental) in order to ensure its timely payments.
  • Maintains the inventory, receiving, issuance and distribution of office supplies and monitors employees' accountabilities (i.e equipment, furniture,cellphone units and fixtures) ; generates equipment and vehicle reports and records; maintains accurate and current inventories of equipment and/or supplies in order to monitor the company's asset.
  • Coordinates with Purchasing and vendors for the acquisition of office equipment and supplies including obtaining proper approval signatures to process request in order to ensure facilitation of request in a timely manner.
  • Responsible in maintaining an organized filing system of paper and electronic documents in order to ensure compliance with all applicable record-keeping requirements.
  • Maintains absolute discretion and strict confidentiality of sensitive information such as financial documents, employee information, records of the company, business plans and proposals, etc. in order to manage information flow in order to avoid issues and conflict in the workplace.
