THE ROLE

To support the senior operations management team by providing administrative support to allow them to spend more time out in the field with clients and their respective management teams. To provide senior management with excellent up to date reporting to manage their teams and clients to maximise operational efficiency and client service levels.

 

FUNCTIONS/RESPONSIBILITIES

· The key areas of responsibility for the Operations Co-ordinator include:

· Managing the help desk, ensuring cases are actioned and closed or escalated.

· Management and reporting of site audit schedule and reporting failed or missed audits.

· Updating and reporting site performance reports on Salesforce.

· Management of annual client cost increases, liaise with operations team, clients and deliver revised proposals through Salesforce.

· Provide support to senior operations management with payroll support administering time and attendance system.

· Support operations recruitment needs by placing and monitoring advert responses, arranging interviews as required.

Operations

· To speak positively and enthusiastically about the company and its products and services to ensure that a professional company and brand image is provided at all times to customers and colleagues.

· To support the client service strategy by providing professional and effective services to all clients, to meet expectations, particularly in terms of quality and timeliness in line with departmental standards, procedures and guidelines.

· To communicate courteously with all clients by telephone, email, and online video conferencing, building positive relationships, and progressing issues and queries to a successful conclusion at the earliest time.

· To deal appropriately with queries received via the helpdesk, telephone and or email and provide written or responses to confirm the information or outcome.

· To liaise and collaborate with colleagues from all departments to maximise the client experience of support from Workplace.

 

Systems Update and Reporting

· To maintain and update records in our Salesforce system accurately and in accordance with the data protection requirements.

· To carry out data cleaning to provide accurate information and support for marketing campaigns.

· To identify renewal opportunities and gather customer information to ensure efficiency of renewal process.

· To provide line management with reports or information as required

· To provide and maintain, on an on-going basis, a record of activities, figures, forecasting and any other records which may be required by the Senior Operations management team in order to keep up to date records of performance.
