Short-Term Rental Accountant (Multi-Entity Setup & Financial Reporting)

The Opportunity:

Delegate BPO LLC is seeking a sharp and experienced Short-Term Rental Accountant for a high-growth client. Our client is aggressively expanding their NYC portfolio, adding 12 new STR units under a sophisticated multi-entity and multi-bank account structure. This is not a standard bookkeeping role; it requires an accountant who can build a robust financial foundation from the ground up, ensure timely and accurate reporting for partners, and provide the financial data critical for securing capital.

Your primary mission has two critical phases:

• Short-Term Urgency: Complete the 2025 books by year-end to support a bank loan application in early January.
• Long-Term Strategy: Design, implement, and manage the monthly accounting and financial reporting for a complex structure involving 1 operating LLC, 12 individual unit bank accounts, and multiple partners.

Key Responsibilities:

1. Immediate Priority (2025 Year-End Close):

2. Perform a comprehensive review and completion of the 2025 books for the existing LLC.

3. Ensure all income and expenses are accurately recorded and categorized.
4. Reconcile all bank accounts, credit cards, and merchant accounts.

5. Prepare a clean, year-end Profit & Loss Statement and Balance Sheet to present to the bank for loan financing.

6. Multi-Entity Accounting System Setup & Management:

7. Establish and manage the chart of accounts within QuickBooks Online for the new operating LLC and its 12 underlying units.

8. Implement a clear system for tracking income and expenses across 12 separate bank accounts (one for each unit).
9. Accurately allocate and code unit-specific expenses (electric, WiFi, utilities, etc.) to their respective P&L.

10. Manage inter-entity transactions and ensure the overall operating LLC's books are consolidated correctly.

11. Partner Financial Reporting (Owner Statements):

12. Prepare detailed, unit-specific Monthly Profit & Loss (P&L) statements for each of the 12 properties.

13. Generate comprehensive Owner Statements for distribution to partners each month, clearly showing income, expenses, and net profit for their investments.

14. Accurately track and report on owner equity and distributions, even during periods where cash distributions are held for reinvestment.

15. Ongoing Operational Accounting:

16. Perform monthly bank reconciliations for all 12+ bank accounts.

17. Manage accounts payable, ensuring all vendor bills (mortgage, utilities, maintenance) are paid correctly and allocated to the proper unit.
18. Reconcile STR platform payouts (Airbnb, Vrbo, etc.) with bank deposits.
19. Maintain a clear audit trail and organized digital filing system for all transactions.

Mandatory Qualifications & Skills:

• STR Industry Expertise (Non-Negotiable): Minimum 3+ years of hands-on accounting experience specifically within the Short-Term Rental or Vacation Property industry.
• Multi-Entity QBO Mastery: Proven experience setting up and managing multiple entities, classes, and/or locations within a single QuickBooks Online company file. Must understand how to produce separate P&L statements for each unit.
• Financial Reporting for Partners: Demonstrable experience creating and delivering clear, accurate, and timely Owner Statements and P&L reports for multiple stakeholders.
• Bank Loan Ready Financials: Experience preparing clean, accurate, and professional financial statements suitable for submission to banks and lenders for loan applications.
• Technical Prowess: High proficiency in QuickBooks Online (Certified ProAdvisor a huge plus), Excel/Sheets for data analysis, and experience with bill payment platforms , Melio, etc).
• Structural Thinker: Ability to design and implement an organized, scalable accounting system for a complex bank account structure. Must be proactive, detail-obsessed, and a clear communicator.

What Success Looks Like:

• Within 30 Days: 2025 books are fully closed, reconciled, and ready for the bank loan application. A clear plan for the 2026 multi-entity setup is approved.
• Within 90 Days: The new QBO structure for the operating LLC and 12 units is fully operational. The first set of accurate, unit-level Monthly P&L and Owner Statements are delivered to the client and partners.
• Ongoing: Flawless monthly closing process by the 5th business day. Partners receive clear, insightful financial reports without follow-up questions. The client feels confident in their financial data for making strategic growth and financing decisions.

Job Type: Full-time

Pay: Php53, Php60,000.00 per month
