The Food and Non-Food Purchasing Officer is responsible for overseeing the procurement of all food and non-food supplies and services for the school. This includes sourcing, negotiating, and managing vendor relationships to ensure cost-effectiveness, quality, and timely delivery of goods such as food products, ingredients for culinary classes and banquet functions, stationery, furniture, cleaning supplies, IT equipment, and other operational necessities. The role involves working closely with various departments to understand purchasing needs and ensuring compliance with school policies and budget constraints.

Essential Functions

Procurement & Sourcing:

  • Identify and source suppliers for food and non-food items and services required by the school.
  • Evaluate vendor proposals and negotiate pricing, terms, and service agreements.
  • Establish and maintain strong supplier relationships to secure quality products at competitive prices.
  • Conduct market research to identify cost-saving opportunities and new vendors.
  • Ensure all purchases meet school standards, policies, and budget guidelines.

Inventory & Supplier Management:

  • Monitor inventory levels and coordinate timely restocking of essential supplies.
  • Maintain records of purchases, pricing, contracts, and supplier performance.
  • Address supply chain disruptions and resolve issues with vendors as needed.
  • Collaborate with finance and operations teams to optimize procurement processes.

Compliance & Reporting:

  • Ensure all procurement activities comply with school policies and relevant regulations.
  • Prepare reports on purchasing activities, cost savings, and vendor performance.
  • Assist in audits and provide documentation as required.
  • Implement best practices to enhance purchasing efficiency and sustainability.

Collaboration & Coordination:

  • Work with school administration, maintenance, IT, and teaching staff to determine supply needs.
  • Support contract negotiations for services such as maintenance, transportation, and security.
  • Coordinate deliveries and address any logistical challenges.
  • Train and guide junior staff on procurement procedures.

Requirements

  • Bachelor's degree in Business Administration, Supply Chain Management, or a related field preferred.
  • Minimum 3-5 years of experience in procurement, purchasing, or supply chain management, preferably in an educational or institutional setting.

Skills

  • Strong negotiation, analytical, and problem-solving skills.
  • Knowledge of procurement regulations and best practices.
  • Proficiency in procurement software and Microsoft Office Suite.
  • Excellent organizational and communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Attention to detail and strong financial acumen.

Job Type: Full-time
