Job Title: Purchasing Officer
Department: F&B Group (Multi-Brand: Tekila, Cork, etc.)
Location: Ermita, Manila (Head Office)
Reports To: Procurement Manager / Finance Head / Operations Head
Job Summary:
The Purchasing Officer is responsible for the sourcing, purchasing, and inventory monitoring of all F&B supplies, equipment, and services for various restaurant branches. The role ensures timely procurement of quality goods at competitive prices while maintaining effective coordination with suppliers and internal stakeholders (kitchen, operations, finance, etc.).
Key Responsibilities:Procurement & Sourcing
- Source food, beverage, and non-food suppliers aligned with quality and cost standards.
- Request and compare quotations to ensure cost-efficiency.
- Prepare purchase orders and ensure timely delivery of goods to branches.
Vendor Management
- Maintain an updated supplier database and good supplier relations.
- Coordinate with vendors regarding quality issues, delays, or discrepancies.
- Negotiate payment terms and contracts with suppliers in coordination with Finance.
Inventory & Cost Monitoring
- Monitor par stock levels and replenish accordingly.
- Coordinate with Commissary, Warehouse, and Outlet Managers to forecast demand.
- Identify cost-saving opportunities and recommend purchasing strategies.
Documentation & Reporting
- Ensure accuracy of all procurement records (POs, DRs, Invoices, etc.).
- Reconcile supplier statements and ensure documentation is complete before submission to Accounting.
- Submit weekly and monthly purchasing reports (cost per category, top items, pending orders, etc.).
Compliance & Internal Coordination
- Ensure compliance with food safety and procurement policies.
- Coordinate closely with Accounting, Warehouse, Operations, and Kitchen Heads.
- Assist in audit requirements and supplier accreditation.
Qualifications:
- Bachelor's Degree in Business Administration, Supply Chain, Hospitality Management, or a related field.
- Minimum 2–3 years experience in F&B purchasing or procurement.
- Familiarity with food and beverage products and suppliers.
- Strong negotiation, communication, and organizational skills.
- Proficient in MS Excel, Google Sheets, and purchasing systems.
- High level of integrity and attention to detail.
