As we continue to grow, we are looking for a dedicated Administrative Staff / Executive Assistant to support our CEO in managing business operations, communications, and customer relations across our ventures.

Position Overview

The Administrative Staff / Executive Assistant will work closely with the CEO to ensure efficient daily operations, organized documentation, and smooth communication across all business and personal matters.

This role blends administrative management, executive assistance, and customer service, requiring exceptional organization, professionalism, and discretion.

The ideal candidate is resourceful, proactive, tech-savvy, and comfortable managing both corporate and personal tasks.

Key Responsibilities

Executive & Administrative Support

  • Manage and organize the CEO's calendar, appointments, meetings, and travel itineraries across ventures.
  • Prepare meeting agendas, minutes, and follow-up trackers to ensure timely execution of action items.
  • Draft, review, and manage reports, presentations, and correspondence.
  • Handle confidential documents such as contracts, agreements, and strategic business materials.
  • Coordinate with suppliers, partners, and internal teams on behalf of the CEO.
  • Support the CEO in daily planning, communication, and project management.
  • Provide administrative and logistical support for the CEO's multiple business ventures.
  • Consolidate weekly updates, reports, and performance summaries from various departments.
  • Assist in the preparation of company decks, business proposals, and regulatory submissions.
  • Ensure smooth communication flow between the CEO and business units.

Customer Service & Partner Relations

  • Serve as the first point of contact for clients, suppliers, and strategic partners.
  • Respond promptly and professionally to customer or partner inquiries via email, phone, or chat.
  • Coordinate appointments, meetings, or product/service inquiries efficiently.
  • Handle customer feedback or concerns and route them appropriately for resolution.
  • Maintain a professional, courteous, and service-oriented communication tone.
  • Support the CEO in nurturing and maintaining long-term business relationships.

Operations & Documentation

  • Maintain company files including permits, contracts, supplier records, and compliance documents.
  • Track deadlines for renewals, registrations, and regulatory submissions.
  • Prepare importation, shipment, or purchasing documentation when needed.
  • Coordinate with logistics partners and consultants for smooth operations.
  • Keep both digital and physical filing systems organized, updated, and secure.

Financial & Purchasing Assistance

  • Process purchase requests, quotations, and supplier payments in coordination with Finance.
  • Track operational expenses, reimbursements, and petty cash reports.
  • Maintain expense logs and summaries for management review.
  • Support procurement and inventory tracking of office or product supplies.

Research & Business Support

  • Conduct research on new peptides, regenerative products, and market opportunities.
  • Prepare background briefs and summaries for meetings or presentations.
  • Support in drafting proposals, partnership decks, and business plans.
  • Track milestones and deadlines for upcoming launches or collaborations.

Marketing & Event Coordination

  • Assist in planning and logistics for corporate events, brand activations, or wellness expos.
  • Coordinate with marketing teams for scheduling, materials, and approvals.
  • Prepare and maintain company profiles, product catalogs, and presentation materials.
  • Support influencer collaborations or partner initiatives when assigned.

Executive Assistance to the CEO

  • Manage the CEO's personal appointments, errands, and private travel arrangements.
  • Handle personal reimbursements, bills, and renewals with confidentiality.
  • Assist with personal event planning, gifting, and milestone reminders.
  • Coordinate personal and professional calendars to ensure work-life balance.
  • Maintain absolute confidentiality in handling all personal and business matters.

Qualifications

  • Bachelor's degree in Business Administration, Management, Communications, or related field.
  • 1–3 years of experience in administrative, executive assistant, or customer service roles.
  • Excellent communication skills (written & verbal, English & Filipino).
  • Highly organized, reliable, and able to manage multiple priorities.
  • Proficient in Google Workspace, Microsoft Office, and project management tools (e.g., Notion, Canva).
  • Professional, proactive, and detail-oriented.
  • Trustworthy and capable of handling confidential information with integrity.
  • Prior experience in wellness, healthcare, or startup environments is a plus.
