The Admin Accountant Staff is essential to an organization's daily financial operations.

This role carries out a range of administrative and clerical duties to support the accounting department. Keeps records, helps with audits, and contributes to the organization's overall financial integrity by ensuring that financial data is processed accurately and promptly.

Key Responsibilities:

  1. Data Entry and Record Keeping

  2. Accurately enter financial data into accounting software and databases.

  3. Maintain and update financial records, ledgers, and journals.
  4. Ensure transactions are recorded in the correct accounts and cost centers.

  5. Accounts Payable (A/P)

  6. Review and verify invoices and payment requests.

  7. Match purchase orders, invoices, and receipts.
  8. Prepare and process checks, electronic transfers, and ACH payments.
  9. Reconcile vendor statements and resolve discrepancies.

  10. Accounts Receivable (A/R)

  11. Generate customer invoices and statements.

  12. Process incoming payments and apply them to appropriate accounts.
  13. Follow up on past-due accounts and assist with collections.
  14. Reconcile A/R ledger to ensure accuracy.

  15. Bank Reconciliation

  16. Reconcile bank statements and resolve discrepancies.

  17. Assist in monitoring cash flow and daily bank transactions.

  18. General Ledger Support

  19. Assist in monthly and year-end closings.

  20. Prepare journal entries and supporting documentation.
  21. Help reconcile general ledger accounts and assist in trial balance preparation.

  22. Financial Reporting Assistance

  23. Support the preparation of financial reports and summaries.

  24. Generate internal reports for use by management and auditors.

  25. Audit and Compliance Support

  26. Provide documentation for internal and external audits.

  27. Ensure compliance with company policies, accounting standards, and government regulations.

  28. Clerical and Administrative Tasks

  29. Maintain organized filing systems, both digital and physical.

  30. Respond to internal and external inquiries regarding invoices, payments, or accounts.
  31. Assist in other administrative or accounting projects as needed.

Qualifications

  • Candidates must possess a Bachelor's degree in Accounting or related field.
  • Must have strong understanding of accounting principles and procedures.
  • 2-3 years of experience in accounting or related field, with experience coordinating and working with US Based client
  • With experience working on as an Accountant in an outsourcing BPO industry is an advantage.
  • Professional certification (CPA) is preferred.
  • Intermediate Proficiency in Microsoft Excel and accounting software (e.g., QuickBooks, SAP, Oracle).
  • Good verbal and written English communication with the ability to engage with clients
  • Must work well independently in a team-oriented environment.
  • Strong mathematical, analytical, and problem-solving skills.
  • Highly attentive to detail and accuracy to meet deadlines.
  • Good organizational and time management abilities.
  • Ability to maintain confidentiality of financial and personnel data.
