We are looking for a detail-oriented and reliable Purchasing Assistant for a company involved in the vape distribution industry located at Madrigal Business Park, Ayala Alabang, Muntinlupa City.
The Purchasing Assistant is responsible for sourcing, evaluating, and purchasing materials for trade marketing, events, promotions, and office needs. This includes POSMs (Point of Sale Materials), giveaways, booth setups, event collateral, and admin supplies. The role ensures brand consistency, timely delivery, and cost-effective procurement from both local and international suppliers.
Key Responsibilities:
Sourcing & Supplier Management
- Source local and international suppliers for POSM, promotional materials, booth setups, uniforms, branded items, and office supplies.
- Evaluate vendor capabilities, MOQs, print quality, material standards, and delivery timelines.
- Develop a reliable supplier network for recurring and event-specific needs.
Procurement & Purchasing
- Process purchase requests from Trade Marketing, Events, and Admin teams.
- Request and compare quotations (RFQ), ensuring brand guidelines are met.
- Oversee production timelines, sampling approvals, and delivery schedules.
- Coordinate logistics for international shipments and customs clearance if needed.
Documentation & Budget Tracking
- Maintain complete and accurate records of RFQs, POs, delivery receipts, and contracts.
- Monitor budgets per event or campaign and flag potential overages.
- Work with finance to ensure timely supplier payments and expense reconciliation.
Trade Marketing & Events Coordination
- Coordinate material readiness for trade activations, store rollouts, brand launches, and field campaigns.
- Collaborate with the Events or Trade Marketing team on timelines and specs for giveaways, banners, and booth elements.
- Support on-site materials inventory for major events, store installations, or expos.
Internal & Cross-Team Collaboration
- Collaborate with Marketing, Admin, Sales, and Field Operations for accurate demand forecasts.
- Communicate procurement status and challenges across departments.
- Assist in preparing procurement reports, timelines, and performance evaluations.
- Evaluate vendor capabilities, MOQs, print quality, material standards, and delivery timelines.
- Develop a reliable supplier network for recurring and event-specific needs.
Qualifications:
- Bachelor's degree in Business Administration, Marketing, Logistics, or Supply Chain.
- 2+ years of experience in purchasing or sourcing, preferably in wholesale/retail – trade marketing industry
- Experience with sourcing branded merchandise, printing vendors, and event logistics is highly preferred.
- Strong negotiation, vendor management, and coordination skills.
- Familiarity with trade marketing materials: roll-up banners, acrylic holders, booths, kits, giveaways.
- Knowledge of import logistics, shipping terms (Incoterms), and customs documentation.
- Proficiency in Microsoft Excel/Google Sheets, procurement software (e.g., Zoho, , or similar).
- Highly organized, deadline-driven, and can manage multiple projects at once.
- Eye for quality and detail, especially for branded merchandise and promotional items.
- Experience coordinating with design or branding teams is a plus.
Work details:
- Monday to Friday; 8:00AM to 5:00PM
- Saturday - work from home
