JOB SUMMARY

Plays a pivotal role in securing high-quality and cost-efficient supplies for the business that follows procurement procedures, maintains an updated list of current and incoming stock, and is responsible for end-to-end purchases.

WORK ACTIVITIES

Cost Reduction and Value Engineering

· Implement business cost-reduction strategies by sourcing materials or conducting value engineering exercises to identify cost-saving opportunities while maintaining quality and functionality.

Sourcing and Supplier Coordination

· Evaluate, coordinate, and support sourcing opportunities for supplies and contractors.

· Assist in evaluating pricing and liaising with suppliers to obtain competitive rates and terms.

· Monitor supplier/vendor performance to ensure compliance with project specifications.

Progress Billing Support

· Assist in reviewing contractor invoices, supporting documents, and progress reports to validate work completed and billed amounts accurately.

Vendor Qualification

· Participate in the initial qualification process of vendors/suppliers to ensure their products or services meet the organization's standards and requirements.

Bids and Awards Process

· Support the end-to-end bids and awards process, including bid solicitation, evaluation, and contract award.

· Collaborate with sourcing and quality teams to develop procedures for qualifying potential suppliers and bidders.

Monitoring and Delivery

· Oversee the delivery of items or the performance of services to confirm the successful execution of purchase transactions.

Payment Processing

· Prepare and monitor payment requests related to billing transactions from vendors, ensuring adherence to agreed terms and conditions.

Documentation and Record-Keeping

· Maintain a systematic and well-organized filing system for all documentation related to procurement and subcontracting activities. Ensure the completeness of records for easy access and reference.

Additional Duties

· Perform other responsibilities assigned by top management to support the company's operations and goals.

COMPETENCIES

Upon hire, the purchasing assistant must:

  1. Completion of a bachelor's degree in Civil Engineering

  2. 1-year relevant experience

  3. Advanced expertise in a variety of computer software applications

  4. Knowledge of various government agencies

  5. Ready to travel

  6. Excellent verbal and written communication skills

  7. Ability to be flexible, make decisions, exercise sound judgment, and use initiative.

  8. Requires continual self-review and planning priorities and deadlines

After hire, the personal assistant must:

  1. Learn effective system procedures

Job Type: Full-time

Pay: Php18, Php20,000.00 per month
