Job Overview:
We are looking for a skilled and experienced OTA Specialist / Travel Agent Specialist / Reservation Officer to join our team. The ideal candidate will have at least 3 years of experience working in hotel reservations, specifically with OTA (Online Travel Agency) platforms such as Agoda, , Opera, and other major reservation websites. This role is critical in ensuring that our property maintains a strong presence across online booking platforms, and in optimizing reservations for maximum occupancy and revenue.
Key Responsibilities:
- Online Travel Agency (OTA) Management:
- Manage and maintain the hotel's presence on major OTA platforms such as Agoda, , Expedia, and other relevant travel websites.
- Ensure that room rates, availability, and promotional offers are updated and accurate on all OTA platforms.
- Monitor and adjust rates in line with market trends, competition, and hotel demand.
- Troubleshoot and resolve any issues related to OTA listings, bookings, or customer feedback.
- Reservation Management:
- Handle reservation inquiries via email, phone, and the hotel's website.
- Accurately input and manage reservations into the property management system (PMS), such as Opera.
- Confirm reservations, process cancellations, and manage any changes or special requests from guests.
- Ensure that room inventory is updated in real-time across all platforms, preventing overbookings and ensuring smooth operations.
- Relationship Management with OTAs:
- Develop and maintain positive relationships with key account managers from various OTA platforms.
- Work closely with OTA representatives to resolve issues, optimize content, and improve the hotel's ranking on OTAs.
- Coordinate with OTAs for any joint marketing or promotional opportunities to boost the hotel's visibility.
- Reporting & Analytics:
- Generate and analyze performance reports from OTAs, including booking trends, revenue data, and occupancy rates.
- Track and report on the hotel's performance on OTAs, comparing it with competitors in the region.
- Use the data to recommend strategies for increasing bookings, improving rankings, and optimizing revenue.
- Revenue Management Support:
- Collaborate with the Revenue Manager to implement dynamic pricing strategies and maximize revenue from OTA bookings.
- Adjust room rates based on demand, market conditions, and competitor pricing.
- Monitor occupancy levels and adjust promotions or special offers to improve booking performance during low-demand periods.
- Customer Service & Communication:
- Address guest inquiries, concerns, or issues related to their reservations via OTAs.
- Ensure a smooth guest experience from booking to check-in, proactively communicating important details and information to guests.
- Assist guests with any specific booking requests or concerns related to their reservations on OTAs.
- Booking and Cancellation Policies:
- Ensure compliance with hotel's booking and cancellation policies when dealing with OTA reservations.
- Work closely with the front office team to ensure that all reservation information is communicated accurately and efficiently.
- Monitor and process no-shows, cancellations, and modifications to ensure minimal impact on hotel occupancy.
Qualifications & Skills:
- Experience: Minimum 3 years of experience working in hotel reservations, with a focus on OTAs and online booking systems.
- Proficiency with OTAs & Reservation Software: Strong working knowledge of popular OTA platforms (Agoda, , Expedia, etc.) and property management systems (PMS), such as Opera, is required.
- Customer Service: Excellent communication and customer service skills, with the ability to manage guest concerns and reservations effectively.
- Analytical Skills: Ability to analyze booking trends and performance data to make informed decisions and optimize reservations.
- Attention to Detail: Highly detail-oriented with the ability to manage multiple reservations and platforms without error.
- Time Management: Strong organizational and time-management skills to efficiently handle a large volume of reservations and tasks.
- Technology Proficiency: Familiar with reservation software, Microsoft Office, and OTAs' extranets.
- Languages: Fluency in English (both written and verbal) is required. Additional languages are a plus.
Education:
- High school diploma or equivalent required; a degree in hospitality management, tourism, or a related field is preferred.
Additional Requirements:
- Ability to work flexible hours, including weekends and holidays, as needed.
- Ability to thrive in a fast-paced environment with strong multitasking abilities.
- Strong problem-solving skills, especially when dealing with reservations and booking issues.
- A proactive attitude towards improving hotel visibility and occupancy rates.
