Key Responsibilities

1. External Representation

  • Serve as the authorized company representative for transactions with banks, government agencies, vendors, and other third-party institutions.
  • Ensure professionalism, accuracy, and compliance in all external dealings.

2. Regulatory & Government Liaison

  • Prepare, process, and submit required documents to agencies such as SSS, PhilHealth, Pag-IBIG, BIR, and other government entities.
  • Monitor deadlines and ensure timely compliance with statutory requirements.

3. Immigration & Visa Support
(if applicable)

  • Assist in handling visa applications, renewals, and immigration-related requirements.
  • Coordinate with external agencies and government offices to ensure regulatory compliance.

4. Facilities & Maintenance Coordination

  • Oversee minor repairs and maintenance concerns within office facilities.
  • Ensure the workplace remains safe, functional, and inspection-ready at all times.

5. Supplies & Procurement Assistance

  • Monitor office supply inventory and coordinate replenishment with procurement.
  • Ensure consistent availability of essential supplies.

6. Errands & Logistics Support

  • Handle company errands, deliveries, and logistical tasks as required by management.
  • Ensure timely and accurate completion of assigned activities.

7. Documentation & Record-Keeping

  • Maintain organized and up-to-date records of all transactions, submissions, and operational tasks handled.
  • Ensure proper filing and documentation for audit and compliance purposes.

8. Compliance & Inspection Preparation

  • Assist in preparing for internal and external compliance inspections related to office operations, safety, and facility standards.

9. Administrative Support

  • Provide general administrative and operational assistance to support daily office activities.
  • Adapt to evolving business needs and perform additional tasks as assigned.

Qualifications

  • Bachelor's degree in any field (preferred but not required).
  • Experience in liaison, administrative support, government processing, or maintenance coordination is an advantage.
  • Strong communication and organizational skills.
  • Ability to multitask and work independently with minimal supervision.
  • Trustworthy, detail-oriented, and able to maintain confidentiality.
  • Willing to travel for errands, inspections, and agency-related tasks.
