The HR Staff provides essential support in the daily operations of the Human Resources department. This role assists in various HR functions including recruitment, employee relations, payroll, benefits administration, documentation, and compliance. The HR Staff ensures that HR processes are carried out smoothly, accurately, and in alignment with company policies and labor regulations.
Detailed Roles and Responsibilities:Recruitment and Onboarding
- Post job openings and assist in screening applicants.
- Coordinate interview schedules and communicate with candidates.
- Prepare job offers, employment contracts, and other necessary documents.
- Conduct orientation for new hires and ensure completion of pre-employment requirements.
- Coordinate with site offices regarding manpower requirements and deployment updates.
Documentation and Records Management
- Maintain accurate and up-to-date employee records, 201 files, and HR databases.
- Encode employee information into HR systems and ensure data accuracy.
- File and organize HR-related documents such as contracts, evaluations, and disciplinary records.
- Monitor expiration dates of contracts, IDs, licenses, and other employee credentials.
- Consolidate and manage HR data and documentation from remote site offices to ensure consistency and completeness.
Employee Relations and Communication
- Assist in handling employee concerns, inquiries, and requests.
- Relay company announcements and HR memos to staff across all locations.
- Help facilitate employee engagement programs and company events.
- Maintain professionalism and confidentiality in dealing with sensitive matters.
- Serve as a point of coordination for HR-related concerns raised by site-based personnel.
Timekeeping, Payroll, and Benefits Administration
- Monitor and verify daily attendance, tardiness, and leave requests of employees.
- Prepare and process payroll, including computation of salaries, overtime, deductions, and government contributions.
- Ensure timely submission and remittance of government-mandated benefits (SSS, PhilHealth, Pag-IBIG).
- Assist in the enrollment, updating, and monitoring of government benefits and employee records.
- Handle the processing of employee loans, reimbursements, salary certificates, and other payroll-related documents.
- Gather timekeeping and payroll-related data from site offices to ensure accurate and timely processing.
Compliance and Reporting
- Help prepare reports required by DOLE, SSS, PhilHealth, and other agencies.
- Ensure HR practices are compliant with labor laws and internal policies.
- Assist in internal audits and HR documentation reviews.
- Compile HR monthly reports such as headcount, turnover, and leave usage.
- Coordinate with site offices to gather compliance-related records and submissions.
Administrative and General Support
- Monitor office supplies related to HR and employee needs.
- Assist in organizing training, seminars, and performance evaluations.
- Support the HR Manager and Operations Manager in administrative tasks as required.
- Perform other tasks that may be assigned by management.
- Ensure HR processes and concerns at remote sites are monitored, documented, and addressed appropriately.
- Bachelor's degree in Psychology, Human Resource Management, Business Administration, or a related field.
- 1–2 years of experience in HR or administrative work is preferred. Fresh graduates are also welcome to apply.
- Knowledge of Philippine Labor Law and HR best practices is an advantage.
- Strong communication and interpersonal skills.
- Organized, reliable, and able to handle multiple tasks.
- Proficient in MS Office (Excel, Word, PowerPoint); knowledge of HRIS is a plus.
- Discreet and trustworthy with handling confidential information.
- Detail-oriented and works well independently or as part of a team.
