JOB DESCRIPTION
- Handle day-to-day office operations, correspondence, and document management
- Manage incoming and outgoing communication (emails, phone calls, mail)
- Organize and maintain both digital and physical filing systems (rental contracts, maintenance logs, customer records)
- Coordinate with operations and technical department to ensure equipment is available, operational, and compliant with safety standards
- Ensure all equipment is rented with proper safety certifications, operator licenses (if required), and insurance
- Assist in auditing internal records for regulatory and operational compliance
- Assist with onboarding of new employees, maintaining attendance records, and managing employee files
- Maintain uniform, ID, and safety gear records for field staff
- Support finance team by compiling timesheets, fuel usage, and rental billing information
- Monitor office and site supplies and place orders when needed (tools, safety gear, fuel vouchers)
- Source and evaluate potential suppliers, negotiate terms, and secure the best pricing and quality
- Coordinate with suppliers for delivery schedules and ensure timely receipt of goods and services
- Liaise with drivers, technicians, and sales for scheduling and administrative needs
- Schedule equipment deliveries and pickups according to customer requirements and rental agreements
- Provide updates to clients on equipment movement and expected arrival times, also handle customer complaints or delays related to logistics
- Maintain documentation for audits, including safety checks and incident reports.
QUALIFICATION
- Bachelor's degree in business administration, Office Management, Logistics, or any related field
- Minimum 1-2 years of experience in administration, logistics, or office management
- Strong organizational and record-keeping skills
- Ability to multi-task, prioritize, and work under pressure
- Detail oriented and results-driven
- Willing to overtime
Job Type: Full-time
Pay: Php20, Php22,000.00 per month
