Support the leadership team by managing calendars, correspondence, and critical projects. You'll be working closely with executives, handling sensitive information, and ensuring that day-to-day operations run smoothly and efficiently. AI tools will be leveraged to streamline communication, scheduling, and task management, enabling you to work with speed and accuracy.


Key Responsibilities:

  • Manage executive calendars, schedule meetings, and prioritize daily tasks.
  • Coordinate travel arrangements, expense reports, and logistics for the leadership team.
  • Draft and respond to communications on behalf of the executives.
  • Organize and maintain internal systems for documents, reports, and records.
  • Help manage key projects by tracking progress, ensuring deadlines are met, and following up with teams.
  • Act as a liaison between the executive team and other departments, facilitating smooth communication.
  • Use AI tools to automate scheduling, create reminders, and generate reports.
  • Organize company events, internal meetings, and team activities.
  • Prepare materials for meetings, including agendas, reports, and presentations.
  • Assist in streamlining operations and improving internal processes.

Requirements:

  • 2 to 4+ years of experience as an Executive Assistant or in a similar support role.
  • Exceptional organizational, communication, and time management skills.
  • Ability to handle confidential information with discretion.
  • Advanced proficiency with Google Workspace, Microsoft Office, and project management tools (Trello, Asana, etc.).
  • Strong written and verbal communication skills.
  • Proven experience with AI tools for scheduling, project management, and communication (e.g., calendar automation, email management, task tracking).
  • Ability to work independently and prioritize tasks in a fast-paced environment.
  • Strong attention to detail and ability to adapt to changing priorities.
  • Experience in a remote work environment and the ability to thrive in a virtual setting.
