Payroll and Benefits Specialist

JOB SUMMARY:
The Payroll & Benefits Specialist is responsible for the accurate and timely end-to-end payroll processing of 2,000+ employees across multiple business units. The role ensures full compliance with statutory requirements and internal policies while maintaining strong coordination with HR, Finance, Operations, and other support groups. This position requires a high level of accuracy, confidentiality, and adaptability, especially with automation, system enhancements, and digital transformation initiatives to support continuous improvement in payroll operations.
KEY RESPONSIBILITIES:
1. Payroll Processing End-to-End:
• Handle complete payroll processing for 2,000+ employees *across multiple sites.
• Validate attendance, OT, ND, allowances, incentives, adjustments, and deductions before computation.
• Reconcile variances and coordinate corrections with HR, Finance, and Operations.
•Ensure strict confidentiality of all payroll and employee financial data.
2. Timekeeping Management:
- Monitor and validate daily attendance from biometrics and timekeeping systems.
- Accurately handle and navigate timekeeping systems to ensure complete and correct data before each cutoff.
- Coordinate with HR and site supervisors for attendance discrepancies, schedule adjustments, and leave tagging.
- Generate timekeeping audit reports and ensure all data are validated prior to payroll processing.
3. Payroll System Administration:
- Manage payroll system navigation, account activation/deactivation, and accurate data entry.
- Assist in system enhancements, configuration updates, and UAT/testing cycles.
- Support integration between HR, Finance, WFM, and Attendance Management tools.
- Participate in automation and innovation projects to improve payroll accuracy and efficiency.
4. Mandatory Benefits and Compliance:
- Prepare and submit accurate monthly statutory contributions and loan reports for SSS, Pag-IBIG, and PhilHealth.
- Administer statutory loans, sickness, and maternity reimbursements.
- Ensure timely remittance of government-mandated deductions, contributions, and loan amortizations.
- Support audits and compliance checks related to DOLE, BIR, and other regulatory agencies.
- Maintain organized documentation for audits and compliance checks
5. Employee Relations and Support:
- Provide prompt and professional assistance to employees regarding payroll, benefits, and statutory inquiries.
- Maintain good communication with employees and coordinate across departments to resolve concerns.
- Support payroll-related education and awareness activities.
6. Reporting, Records Documentation and Continuous Improvement:
• Prepare and analyze payroll cost summaries, variance reports, and audit documentation.
• Participate in automation initiatives and continuous process improvements.
• Support payroll system upgrades, testing, and rollout of new tools or policies.
• Maintain organized payroll records, statutory files, and supporting documents.
• Safeguard data accuracy and confidentiality at all times.
QUALIFICATIONS:
- Bachelor's degree in accounting, Finance, Human Resources, or related field.
- Strong of experience in payroll, timekeeping, and benefits administration during internship.
- Proficient in Microsoft Office, particularly Excel.
- Excellent communication and coordination skills with employees and management.
- Strong multitasking, accuracy, and attention to detail.
