About the Role:

We're looking for someone to help filter leads, sort bid invites, perform takeoffs (measure materials and labor needed), create project estimates, send quotes, and support the Sales & Operations team. You'll work with software to analyze data, forecast costs, and track project details. You'll also be the go-to person for submitting and tracking RFIs (Requests for Information) as part of the bidding process.

Requirements:

• Able to work Monday–Friday, 8am–5pm ET (40 hours/week).
• 3+ years of related experience or coursework.
• Skilled in using Planswift (Takeoff Software)
• Familiar with bid platforms (BuildingConnected, PlanHub, Procore, etc.)
• Excellent written and verbal communication skills
• Great attention to detail and organization
• Fluent in English
• Experience with HubSpot or similar CRM is preferred.
• Experience using Slack and ClickUp is a plus.

• Takeoff Software (Planswift)
• Construction/Bidding Platforms
• GSuite
• Slack & ClickUp

What You'll Do:

• Review and prioritize incoming bid invitations.
• Organize, maintain, and update Google Drive folders (and/or Microsoft Outlook folders).
• Manage dedicated company email(s) for bid management—mainly using Microsoft Outlook and Gmail.
• Prepare detailed estimates and quotes.
• Extract and organize project scope, specs, drawings, addenda, and related files from bid documents.
• Track all submitted bids, key project contacts, follow-up schedules, and job status.
• Use construction plans to create accurate material and labor takeoffs (using PlanSwift)
• Maintain clear, up-to-date project files and documentation for each bid
• Send quotes to clients and follow up to find out why bids were won or lost.
• Assist with periodic outreach to clients to ensure bid opportunities are maximized and tracked.
• Suggest and help implement process improvements.
• Collect feedback to improve future estimates.
• Use software for data analysis, forecasting, and budgeting.
• Support basic calendar and scheduling tasks related to project deadlines, using Microsoft Outlook and/or Google Suite.
• Update files when addenda or drawing changes occur, ensuring that all documentation reflects the latest revisions.
• Manage RFIs—submit questions and track responses to clarify project requirements.
