Key Responsibilities:Reception Duties

  • Greet and assist visitors, employees, and clients in a courteous and professional manner.
  • Manage incoming calls, emails, and inquiries; route them to the appropriate personnel.
  • Maintain reception area cleanliness, order, and readiness at all times.
  • Handle incoming and outgoing documents, messenger items, and deliveries.
  • Assist with scheduling appointments, meetings, or room reservations.

Billing Monitoring

  • Track and monitor billing statements, invoices, and payments.
  • Coordinate with suppliers, finance, and internal teams regarding billing concerns.
  • Check billing accuracy and ensure completeness of supporting documents.
  • Update logs, records, and billing trackers regularly.
  • Follow up on pending invoices and ensure timely processing.

General Administrative Support

  • Assist in filing, recordkeeping, and documentation requirements.
  • Prepare basic reports, memos, or summaries as needed.
  • Support office operations, supplies monitoring, and other administrative tasks.
  • Provide assistance during events, meetings, or special activities.

Qualifications:

  • Bachelor's degree in Business Administration, Office Administration, or related field.
  • With experience in reception, admin support, or billing functions (preferred).
  • Strong communication and customer service skills.
  • Organized, detail-oriented, and able to multitask.
  • Proficient in MS Office applications.
