Key Responsibilities:Reception Duties
- Greet and assist visitors, employees, and clients in a courteous and professional manner.
- Manage incoming calls, emails, and inquiries; route them to the appropriate personnel.
- Maintain reception area cleanliness, order, and readiness at all times.
- Handle incoming and outgoing documents, messenger items, and deliveries.
- Assist with scheduling appointments, meetings, or room reservations.
Billing Monitoring
- Track and monitor billing statements, invoices, and payments.
- Coordinate with suppliers, finance, and internal teams regarding billing concerns.
- Check billing accuracy and ensure completeness of supporting documents.
- Update logs, records, and billing trackers regularly.
- Follow up on pending invoices and ensure timely processing.
General Administrative Support
- Assist in filing, recordkeeping, and documentation requirements.
- Prepare basic reports, memos, or summaries as needed.
- Support office operations, supplies monitoring, and other administrative tasks.
- Provide assistance during events, meetings, or special activities.
Qualifications:
- Bachelor's degree in Business Administration, Office Administration, or related field.
- With experience in reception, admin support, or billing functions (preferred).
- Strong communication and customer service skills.
- Organized, detail-oriented, and able to multitask.
- Proficient in MS Office applications.
