Job Brief

The Financial Planning VA is responsible for creating clear, actionable, and personalized financial plans that empower families to make confident decisions. This role supports advisors by preparing materials and ensuring all client data is accurate and up-to-date, contributing to a seamless and impactful client experience. The core mission is to give clients and new families the confidence that they are taken care of financially, emotionally, and strategically. By building these plans, you eliminate uncertainty and replace it with clarity and confidence. Your work serves as a "permission slip" for families to spend more, live more fully, and feel secure in their retirement journey.

Responsibilities

  • Daily Planning & Preparation: Prep advisors for Evaluation Visits (Sleep Study) and Implementation Visits by building draft financial plans.
  • Site & Data Management: Check secure upload folders and process Profeds Fact Finder submittals.
  • Client Record Maintenance: Update client information daily across CRM, Mailchimp, Text, and Facebook platforms, including badges and review dates.
  • Technical Reporting: Request and complete stress tests and prepare Social Security Reports.
  • Portfolio Analysis: Prepare proposed "After" portfolios on Riskalyze.
  • Administrative Coordination: Build binders, collect documents, request Property & Casualty quotes, and coordinate Tax and Legal reviews.
  • Weekly Reporting: Report out the number of Financial Plans and Sleep Studies completed the previous week.
  • Annual & Periodic Audits: Run specific reports for Medicare (clients turning 64 or 65), milestone birthdays, and clients retiring.
  • Database Hygiene: Perform bi-annual info exports from Wealthbox and correct duplicate record reports annually.
  • Compliance & Policy Tracking: Review client categories and ensure all life premiums are paid quarterly.

Requirements

  • Proven experience in an administrative support or data-entry role, preferably within financial planning or wealth management.
  • Strong attention to detail with a focus on accuracy in financial plan preparation.
  • Ability to apply critical thinking to complex financial data and reporting.
  • Strong organizational skills to manage daily, weekly, and annual task cycles effectively.
  • Excellent written and verbal communication skills to support advisor and client needs.

Desirable

  • Familiarity with financial planning concepts such as Social Security reporting or Stress Testing.
  • Experience managing "Sleep Studies" or similar evaluation visit processes for financial advisors.
  • Prior exposure to Australian or US-based financial services terminology.
  • Experience in a role where KPIs are based on revision-free reporting.

Software Proficiency

  • CRM Systems: Experience with Wealthbox or similar client management tools.
  • Communication Platforms: Proficient in Mailchimp and professional text/messaging systems.
  • Financial Analysis Tools: Experience with Riskalyze and Profeds.
  • Data Management: Proficiency in Microsoft 360 and OneDrive for file organization.

  • Detail-Oriented: Committed to achieving a 0% correction rate on financial plans and stress tests.
  • Critical Thinker: Capable of analyzing data to build impactful draft financial plans.
  • Organized: Able to maintain complex annual report schedules and quarterly client reviews.
  • Reliable: Consistently meets deadlines for "fiscal houses" and reports with no revisions required.
