The Account Executive supports the Account Management team in client communications, report preparation, and day-to-day project coordination. Ensures smooth operations by managing timelines, deliverables, and cross-team collaboration. Assists in special projects including event management, research, and internal initiatives. Requires strong organization, attention to detail, flexibility, and the ability to handle multiple priorities effectively.

Key Responsibilities:

Administrative Support

  • Assist Account Managers with the preparation of proposals, presentations, reports, and other client documents.
  • Update and maintain project files, client records, and documentation.
  • Help monitor project schedules and ensure internal teams meet deadlines.
  • Coordinate internal meetings, prepare meeting notes, and track action items.

Special Project Support

  • Assist the Account Manager and Special Projects Lead (if applicable) in planning, coordinating, and executing special projects.
  • Prepare necessary documents, schedules, reports, and presentations related to special initiatives.
  • Track project deliverables, milestones, and timelines to ensure projects remain on schedule.
  • Document meeting notes, task lists, and follow-up actions for special project meetings.
  • Coordinate with Research & Monitoring Team with regard to market trends, competitor analysis, etc.).
  • Compile findings into actionable summaries and present them to the Special project team.

Client Assistance

  • Support the Account Manager in managing day-to-day client communications under supervision.
  • Help in responding to client inquiries, requests, and basic updates as directed.
  • Assist in gathering necessary information and materials from clients for ongoing projects.
  • Help compile performance reports and project summaries for client updates.

Project Coordination

  • Work closely with creative, digital, media, and Project & Production Management teams to assist in delivering tasks on time.
  • Help track job orders, briefs, approvals, and revisions across different departments.
  • Assist in quality checks for deliverables before client submissions.

Financial & Billing Support

  • Support the preparation of billing documents, cost estimates, and invoices.
  • Help monitor project budgets and expenses to ensure financial tracking accuracy.
  • Assist in compiling billing summaries and tracking client payments.

Internal Collaboration

  • Work proactively with Account Manager and other internal teams to ensure efficient workflow.
  • Participate in brainstorms, project kick-offs, and team meetings as needed.
  • Help maintain positive and open communication across departments.

Ad Hoc Tasks

  • Assist with any ad hoc assignments related to special agency initiatives or one-off projects.
  • Act as a flexible team member who can step in where extra support is needed.

Other Duties & Responsibilities:

  • Assists with additional responsibilities as needed or as delegated, in coordination with the supervisor and team priorities.

Qualifications:

  • At least 1–2 years of administrative, marketing, or agency-related experience preferred.
  • Bachelor's Degree in Marketing, Communications, Advertising, or a related field.
  • Strong organizational skills with keen attention to detail.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and basic knowledge of project management tools.
