Head of Billing and Collection

The Head of Billing and Collection is responsible for overseeing and managing the entire billing and collection operations of the company. This role ensures accurate and timely invoicing, efficient collection of receivables, proper documentation, and compliance with company policies and financial regulations. The position leads the billing and collection team to maintain strong cash flow and minimize bad debts.
Key Responsibilities:
- Supervise and manage the billing and collection team, ensuring all activities are performed efficiently and accurately.
- Develop and implement billing procedures, collection strategies, and credit policies to optimize cash flow.
- Ensure timely issuance of invoices and statements to clients and monitor outstanding balances.
- Oversee collection follow-ups, payment posting, and reconciliation of accounts receivable.
- Coordinate with other departments to resolve billing discrepancies and customer disputes.
- Monitor aging of receivables and prepare collection performance reports for management review.
- Set performance targets and KPIs for the billing and collection team.
- Ensure compliance with company policies, accounting standards, and relevant laws/regulations.
- Review and approve adjustments, write-offs, and payment arrangements when necessary.
- Recommend process improvements and automation tools to enhance efficiency.
- Prepare regular reports on billing accuracy, collection performance, and cash flow projections.
- Conduct training and coaching to enhance staff competencies and maintain high-quality service.
Qualifications:
- Bachelor's degree in Accounting, Finance, Business Administration, or related field.
- Preferably a CPA or equivalent professional certification (optional but an advantage).
- At least 5–8 years of experience in billing, collection, or accounts receivable management, with 3 years in a supervisory or managerial role.
- Strong analytical, organizational, and leadership skills.
- Proficient in Excel and accounting systems such as QuickBooks, SAP and Oracle
- Excellent communication and negotiation skills.
- Detail-oriented and capable of handling high-volume transactions.
