Be part of our client's team as an Executive Assistant, supporting the CEO and executives by managing calendars, coordinating meetings across time zones, arranging travel, handling correspondence, preparing documents, and assisting with special projects. You will ensure smooth executive operations while maintaining discretion and professionalism in all tasks.

Qualifications That Will Set You Up for Success
- 3 to 5 years of relevant experience
- Bachelor's degree in Business Administration, Communications, or related field preferred
- Previous experience as an Executive or Administrative Assistant supporting senior executives
- Strong organizational and time management skills with the ability to prioritize tasks and manage multiple projects
- Excellent written and verbal communication skills with a professional demeanor
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools
- Ability to work independently and exercise sound judgment in decision-making
- Discretion and confidentiality in handling sensitive information and executive-level matters
Your Key Responsibilities
Calendar Management
- Manage CEO's multi time-zone calendar, schedule appointments, meetings, and conference calls
- Coordinate with internal and external stakeholders to schedule meetings and events
- Identify scheduling conflicts and resolve issues to optimize CEO's time and priorities
- Protect focus blocks and add buffers for travel time and preparation
Meeting Coordination & Support
- Coordinate logistics for meetings and executive/team offsites, including agendas, conference rooms, AV, and catering
- Attend meetings or calls to take minutes, track action items, and follow up on decisions
- Prepare CEO with relevant documents and background information in advance
Travel Arrangements
- Arrange domestic and international travel, including flights, accommodations, transportation, and itinerary planning
- Coordinate travel logistics and provide support during travel, including itinerary changes and emergency assistance
- Manage travel expenses, receipts, and reimbursements according to company policies
Correspondence Management
- Manage CEO's email account, prioritize messages, respond to routine inquiries, and flag urgent matters
- Draft emails and other correspondence maintaining professionalism and accuracy
Document Preparation and Review
- Prepare, format, proofread, and edit documents, presentations, and reports
- Maintain electronic and physical filing systems for easy access and retrieval
- Ensure related documents and links remain updated on the company intranet
Project Support
- Assist executives with special projects, research assignments, and ad hoc tasks as needed
Confidentiality and Discretion
- Handle sensitive and confidential information with utmost discretion
- Maintain confidentiality of executive discussions, decisions, and personal matters
- Adhere to company policies regarding data security and privacy
