A Customer Service Representative is responsible for engaging with customers on behalf of the company. Their duties include handling inquiries of clients and processing of policy updates.  They aim to ensure customer satisfaction by providing accurate information and empathetic service.  Key responsibilities include answering customer questions, resolving issues, and ensuring accurate policy documentation.

This role often involves coordinating with other departments to ensure a smooth and profitable new business pipeline.

Job Responsibilities and Tasks:

1. Customer Support

  • Answer customer queries via phone or email in a timely and professional manner.
  • Handle complaints, provide quotes, and helping customers understand their policies.

2. Maintaining Customer Records

  • Keeping of detailed records of customer interaction and transactions
  • Updating of customer service databases regularly to keep track of any changes in their name or contact details, which can affect ability to reach them in the future.

3. Policy Management

  • Processing policy changes, renewals, and cancellations, and ensuring accurate documentation.

4. Client Relations

  • Maintaining positive relationships with clients by providing prompt, helpful, and professional service.

5. Escalation

  • Escalating complex issues to appropriate departments or supervisors.

6. Others

  • Perform other assignments to be given by the Head of Office

Skills and Qualifications:

  • Bachelors' degree in Finance, Communications, or a related field
  • Minimum of three (3) years of related work experience.
  • Has the basic Customer Service Skills: Empathy, active listening, patience, and a professional demeanor.
  • Clear and concise written and verbal communication essential for interacting with clients and other parties.
  • Proficiency in relevant Microsoft Office Software.
  • Has the ability to identify and resolve customer issues effectively.
  • Strong organizational and time management skills.  Has the ability to manage multiple tasks, prioritize workload and meet deadlines.
