SUMMARY OF JOB DESCRIPTION

The Accounts Payable Specialist is responsible for managing and maintaining the accounts payable process. This includes processing invoices, reconciling vendor statements, ensuring timely payments, and maintaining accurate financial records. The role requires strong attention to detail, excellent organizational skills, and the ability to work effectively with vendors and internal stakeholders.

DETAILED ACCOUNTABILITIES

1. Invoice Processing

· Review and verify invoices for accuracy and proper approval.

· Match invoices to purchase orders and receiving documents.

· Enter and upload invoices into the accounting system.

· Code invoices with correct general ledger accounts.

2. Payment Processing

· Prepare and process electronic transfers and payments.

· Prepare and process check runs, ensuring timely payment of all invoices.

· Monitor discount opportunities and ensure timely payments to take advantage of them.

3. Vendor Management

· Maintain vendor files and ensure all vendor information is current and accurate.

· Communicate with vendors regarding payment status and resolve any discrepancies.

· Reconcile vendor statements and investigate any discrepancies or issues.

4. Record Keeping and Reporting

· Maintain accurate and organized accounts payable records.

· Assist in the preparation of monthly, quarterly, and annual accounts payable reports.

· Support the month-end closing process by ensuring all invoices and payments are processed accurately and timely.

5. Compliance and Internal Controls

· Ensure compliance with company policies and relevant accounting regulations.

· Assist in the development and implementation of accounts payable policies and procedures.

· Participate in internal and external audits by providing requested documentation and information.

6. Process Improvement

· Identify opportunities for process improvements and efficiencies in the accounts payable process.

· Assist in the implementation of automated solutions to streamline accounts payable operations.
