  2. Maintain Client Information – Keep all client details and billing records updated.
  3. Prepare and Send Invoices – Create and distribute invoices, credit memos, and statements to customers.
  4. Verify Billing Data – Check data inputs to ensure accuracy before issuing final bills.
  5. Monitor Payments – Track and reconcile customer payments, ensuring proper posting in the accounting system.
  6. Report Irregularities – Notify the Accounting Head of any discrepancies or delays in billing or collection.
  7. Coordinate with Other Departments – Liaise with the logistics and sales teams to ensure billing corresponds with deliveries and contracts.
  8. Handle Client Queries – Address questions or disputes related to invoices, statements, or payments.
  9. Maintain Records – File and organize all invoices, receipts, and payment confirmations for audit reference.
  10. Prepare Aging Reports – Generate and update Accounts Receivable aging reports regularly for review.
  11. Assist in Month-End Closing – Support the accounting team in reconciling revenues and verifying invoice postings before cut-off.
  12. Follow Up Collections – Send reminders and coordinate with clients for overdue accounts.
  13. Process Credit Notes or Adjustments – Ensure that any approved billing corrections or discounts are properly recorded.
  14. Ensure Compliance – Adhere to company billing procedures and maintain confidentiality of financial data.
  15. Perform Other Duties – As may be assigned by the Accounting Head related to invoicing and general accounting.
