Job Summary
- This role is essential in ensuring smooth office operations aligned with the standards of our global team. The successful candidate will be responsible for managing daily administrative tasks, coordinating office-related procedures, supporting internal teams (especially Customer Service), and liaising with external stakeholders and vendors.
Key Responsibilities
- Oversee and manage daily office operations to maintain a well-functioning and efficient workplace
- Support office leasing activities, including lease renewal, expansion, and site selection
- Coordinate office renovations, layout modifications, and workspace planning
- Maintain inventory and place orders for office supplies, equipment, and furniture
- Facilitate office-related events, meetings, and internal celebrations
- Liaise with property management and vendors to ensure timely service and maintenance
- Maintain office safety and cleanliness and enforce security protocols (e.g., access card programming)
- Monitor and control office-related expenses within budget
- Assist with employee onboarding and offboarding processes
- Handle administrative support tasks such as document stamping, recordkeeping, and scheduling
- Revise local administrative policies in line with corporate guidelines
- Provide general support to visitors and external contacts
- Assist in internal and external audits when required
- Perform other administrative tasks as assigned
Key Qualifications
- Education: Bachelor's degree (any field)
- Experience: Minimum of 3 years in administrative or office management roles, experience with office renovations or space management is an advantage
- Language Skills: Proficient in English (spoken and written), Verbal Mandarin communication skills are preferred but not required
- Technical Skills: Proficiency in Microsoft Office (Word, PowerPoint, Outlook)
- Other Skills: Strong organizational and multitasking abilities, high attention to detail and ability to work independently, discretion in handling confidential information, effective communication and coordination skills, and flexible, proactive, and solutions-oriented
