What is your mission?We are looking for a highly organized Compliance Assistant to help ensure accuracy, documentation completeness, and adherence to housing program requirements. In this role, you will support daily file reviews, maintain compliance records, track certifications, and assist with audit preparation across multiple properties. This is an excellent opportunity for someone who thrives in structured processes, documentation accuracy, and deadline-driven environments.
You will provide the best service to our partner brands by performing these tasks:
- Maintain and organize tenant files, certifications, and supporting documentation for review.
- Perform daily file and credit reviews across assigned properties.
- Conduct affordable housing file reviews and provide clear, detailed corrections as needed.
- Enter and maintain data in systems such as WBARS, OFA Matrix, MFTE spreadsheets, and other compliance tools.
- Track credit determinations, recertifications, expirations, and compliance deadlines.
- Assist in preparing Recertification Expense Reports and other compliance reports.
- Maintain file storage and documentation in the company's external cloud system for fast audit access.
- Compile documentation for internal and external audits (e.g., WSHFC, PNC).
- Support communication to property staff, including reminders, compliance updates, and training notices.
- Identify missing documents or discrepancies and escalate issues when needed.
- Perform administrative tasks such as filing, scanning, organizing records, and maintaining spreadsheets.
- Support training of site staff regarding compliance procedures and documentation needs.
- Assist in coordinating and performing property file audits to maintain compliance standards.
- Bachelor's degree in any business, accounting, administration, or related field.
- Experience with file management, documentation review, audit preparation, or compliance support.
- Ability to navigate systems such as WBARS, OFA Matrix, MFTE spreadsheets, or similar data-tracking platforms.
- Strong proficiency in spreadsheets, data entry, and documentation accuracy.
- Experience working in structured, compliance-driven, or SOP-based environments.
- High attention to detail and ability to identify errors or missing documents.
- Strong organizational skills and ability to manage multiple deadlines.
- Clear communication skills, both written and verbal.
- Ability to follow structured workflows and maintain strict confidentiality.
