Hi We're Smartsourcing, and we're looking for a Travel Admin Associate to join our full-time, on-site crew. About the Role

In this role, you will provide customer support via phone, email, and chat while assisting clients with bookings and tour arrangements. You'll manage administrative tasks such as processing bookings, data entry, documentation, and reporting. Working closely with partner and travel agents, you will also promote Emu Run products, support upselling opportunities, and help create tailored tour itineraries to enhance the customer experience.

Key Responsibilities

Administration & Reporting

  • Complete routine and ad hoc tasks on time
  • Document and update procedures with version control
  • Log productive time and maintain accurate records in CRM/databases
  • Submit accurate reports and escalate blockers promptly

Bookings & Customer Support

  • Record passenger and tour details accurately
  • Provide confirmations and process payments securely
  • Handle inquiries via phone, email, and chat with first-contact resolution
  • Deliver accurate information while maintaining professionalism and courtesy

Quality & Service Standards

  • Follow communication and booking guidelines
  • Ensure accuracy of bookings, reports, and documentation
  • Be punctual, reliable, and responsive to client communication
  • Collaborate effectively with colleagues to achieve team goals

Sales & Improvement

  • Promote products, build itineraries, and identify upsell opportunities
  • Maintain strong client relationships to drive repeat business
  • Recommend process improvements and maximize productivity
  • Demonstrate leadership qualities and potential

Health & Safety

  • Follow OH&S procedures and company policies
  • Report risks, hazards, and support compliance initiatives
Requirements
KNOWLEDGE & EXPERIENCE

(Includes technical knowledge, qualifications, legislation, regulations, etc.)

  • 1–4 years of experience in customer service, office administration, or virtual assistance
  • Knowledge and experience in the travel industry
  • Proficiency in Google applications, Microsoft Office Suite, database management, and other computer skills
  • Experience in documenting workflows and processes
  • Completion of basic training/workshops in phone, email, and chat customer service
