
Management Support Specialist

The Management Support Specialist provides essential support to the department manager by handling day-to-day operational tasks, gathering and analyzing data, and assisting in project coordination. This role helps streamline workflows, support decision-making with data insights, and enable the manager to focus on higher-level strategy and leadership tasks.
KEY RESPONSIBILITIES:
Operational Support
- Assist the Property Manager in coordinating daily operations to ensure tasks are completed efficiently.
- Maintain schedules, organize meetings, and prepare relevant documents to support the manager's agenda.
- Handle administrative duties, such as email correspondence, documentation, and record-keeping.
Data Analysis and Reporting
- Gather and analyze data related to departmental KPIs, creating reports that provide insights into trends and performance.
- Support the property manager in decision-making by providing accurate data and well-structured analysis.
- Monitor key metrics and compile weekly/monthly reports to keep the property manager informed of any necessary actions.
Project Coordination
- Assist in managing timelines, deliverables, and resources for various departmental projects.
- Communicate with team members and stakeholders to ensure smooth project progression and resolve any minor issues independently.
- Track project milestones and update the manager on any significant developments or potential bottlenecks.
Process Improvement
- Identify areas where workflows can be streamlined or improved and make suggestions to the manager.
- Document and refine procedures to ensure consistency and efficiency within the team.
- Develop templates, checklists, and other tools to support the manager and team in maintaining productivity.
Communication and Liaison
- Act as a point of contact between the manager and team members, ensuring information flows smoothly and tasks are clearly understood.
- Assist in preparing presentations, proposals, and communications on behalf of the manager.
- Build relationships within the team and across departments to facilitate collaboration and provide seamless support.
- Bachelor's Degree in Business Administrative, Management or any work related.
- Experience: Proven experience in an administrative, project support, or data analysis role.
- Skills: Proficiency in Microsoft Office Suite, data analysis tools, and excellent organizational skills.
Attributes: Detail-oriented, proactive, adaptable, with strong interpersonal and communication skills.
Accuracy and timeliness of data reports and analyses.
- Efficiency and effectiveness of administrative support.
- Improvement in team processes and workflow consistency.
