Project Administrative and Site Support Officer

The Project Administrative and Site Support Officer is a project-based, multi-functional role responsible for overseeing administrative, logistical, and financial coordination at the project site. The position supports the Project Manager by handling inventory control, timekeeping, payroll processing, fund requests, liquidation, and documentation, ensuring smooth day-to-day site operations while maintaining compliance with company policies and labor regulations.
Key Responsibilities
1. Inventory and Logistics Management
- Receive, store, and issue materials and equipment at the project site.
- Maintain accurate and updated inventory records, including material usage and balances.
- Conduct regular stock checks and prepare inventory reports for management review.
- Coordinate with suppliers and logistics partners for deliveries and dispatch.
2. Financial and Administrative Documentation
- Prepare and submit liquidation reports for project-related expenses.
- Facilitate fund requests and ensure timely release for project operations.
- Ensure all documentation complies with company accounting and audit procedures.
- Maintain organized project records and filing systems (digital and hard copy).
3. Payroll and Timekeeping
- Monitor daily attendance of site personnel and maintain accurate timekeeping logs.
- Record and verify overtime (OT), leaves, and absences for payroll computation.
- Prepare payroll summaries and salary disbursement reports for management approval.
- Coordinate with HR/Accounting for timely processing of salaries and statutory remittances.
4. Project Coordination and Reporting
- Assist the Project Manager in preparing progress reports, documentation, and compliance requirements.
- Coordinate with management for updates on project milestones and operational needs.
- Ensure timely submission of reports and assist in administrative follow-ups.
Qualifications (Non-Negotiable)
- Proficient in Microsoft Office (Excel, Word, PowerPoint).
- Graduate of any Business, Finance, or Management-related course (preferred).
- At least 1–2 years of relevant experience in administration, accounting, or site coordination.
- Strong organizational skills with attention to detail.
- Ability to work independently, multitask, and meet tight deadlines.
