General Description:

Administrative Assistant duties and responsibilities include providing administrative support to ensure efficient admin operation of the office. Supports managers and employees through a variety of tasks related to organization and communication. Facilitate and disseminate a variety of business correspondence. Moreover, their responsibilities also include making travel and meeting arrangements, preparing reports and maintaining appropriate filing and record systems.

RESPONSIBILITIES:

  • Handle administrative requests and queries from department managers.
  • Organizing and scheduling appointments.
  • Facilitate monitoring of utilities payments such as Electricity, water and telecom bills.
  • In charge of monitoring the preventive maintenance schedule and repair of office equipment and facilities.
  • Write and distribute email, correspondence memos, letters, faxes and forms.
  • Maintain admin records filing system.
  • Submit and reconcile admin expense reports.
  • Completes operational requirements by scheduling and assigning administrative projects; expediting work results.
  • Coordinating with HRD on updating and monitoring of employee's accountability sheets.
  • Monitors asset acquisition and facilitates acquisition of deeds if necessary.
  • Monitors accomplishment of Housekeeping Activities done by Utility Staff based on target schedule.
  • Accomplishes Inventory and Purchase Request for office supplies, medicines and Cleaning Materials.
  • Provides administrative support to HRD on spearheading of company affairs, such as sports activities, APE, team building, seminars, parties and company outings.
  • Handles flight and hotel booking for Official business trips.'
  • Accept changes, other tasks and responsibilities not mentioned above for the overall growth of the company.
  • Can perform multi-tasking.

OTHER FUNCTIONS AND RESPONSIBILITIES:

ACCOUNTING

  • File and compile BIR Tax Returns through eBIRForms application.
  • Prepare eCWT and form 2307 for transactions with suppliers.
  • Issue Billing Statement and Official receipt to subscribers.
  • Process renewal of permits and licenses.
  • Create financial report.

· MARKETING

  • Handle and answer queries from customers.
  • Process Company Licenses and compliance.
