Job Summary

As a
Remote Scheduler / Care Coordinator

, you will be key to ensuring our clients receive personalized, high-quality care. Working remotely, you will coordinate schedules between caregivers and clients, manage administrative tasks, and maintain excellent client and caregiver relationships.

The ideal candidate is empathetic, organized, and adaptable. You should have excellent phone etiquette, a professional demeanor, and the ability to build rapport with clients and caregivers from diverse cultural and educational backgrounds. Strong communication, time management, and problem-solving skills are essential for success in this role.

Key Responsibilities:

  • Coordinate Schedules:

Review daily schedules and upcoming appointments to ensure all shifts are filled. Communicate with caregivers and clients to confirm availability and preferences. Adjust schedules as needed to handle changes, emergencies or caregiver no-shows.
- Match Caregivers with Clients:

Assess the specific needs and preferences of clients. Assign caregivers with the appropriate skills and availability to meet those needs. Ensure a good match by considering both client and caregiver preferences and requirements.
- Handle Communications

: Respond promptly to inquiries from clients and caregivers via phone, email, or messaging platforms. Address concerns or changes in a timely manner. Provide clear and effective communication to ensure all parties are informed and satisfied.
- Administrative Tasks

: Maintain accurate and up-to-date records of schedules, client information, caregiver details, & shift notes. Generate and distribute necessary reports to management and other relevant team members.
- Ensure Satisfaction

: Conduct regular follow-ups with clients and caregivers. Address any issues or complaints promptly to ensure high levels of satisfaction. Implement improvements to continuously improve the matching and scheduling process.
- Resolve Conflict

s: Manage scheduling conflicts creatively and effectively. Negotiate solutions that maintain high-quality service and satisfaction for all parties.

What a Typical Day Looks Like (Phone and Computer Work)

  • Create shifts, add tasks, document phone call notes from discussions with team, families, clients, care providers.
  • Review and Adjust Schedules to clients and caregivers: Review the daily schedules and make any necessary adjustments, problem solve, to accommodate changes or emergencies, caregiver no shows, or call-offs from work.
  • Communicate with clients and caregivers via phone or SMS

for shift updates, missed clock ins/outs,  and confirmation.
- Call active and inactive caregivers to check availability.
- Make phone calls to family members and clients to check on needs and satisfaction
- Answer incoming and make outbound calls for service inquiries
- Plan for the Next Day

: Plan and schedule the next day's appointments, tasks, shifts, and any potential adjustments needed.

Performance Metrics

  • Successful Matches:

95%+ match rate between caregivers and clients.
- Responsiveness:

Covering shifts in less than 1 hour.
- Retention:

Maintaining 90%+ caregiver and client satisfaction rates.
- Efficiency:

Keeping client cancellation rates below 3% per month.

Job Requirements

  • 1 year BPO experience: customer service & sales
  • 1-year scheduling or staffing experience
  • Bachelor's degree preferred, not required
  • Comfortable in working with a team and also independently with minimal direction
  • English: 95%-100%
  • Bilingual Spanish-English preferred but not required
  • Working knowledge with Gsuite, Slack
