Schedule: Monday to Friday, 9:00 AM – 6:00 PM EST (includes 1-hour unpaid break)
Total Weekly Hours: 40 Hours

Our client is seeking a proactive and highly organized Administrative and Scheduling Coordinator to support operations and client engagement for their DJ team. This role ensures seamless communication, accurate event coordination, and efficient scheduling. The ideal candidate is detail-oriented, responsive, and capable of managing multiple priorities while maintaining professionalism.

Responsibilities
  • Manage client communications via the main inbox, responding promptly and professionally.

  • Collect and validate essential event details such as dates, venues, timelines, and guest counts.

  • Assign DJs to events based on scheduling logistics, availability, and client requirements.

  • Send follow-up messages and confirmations, ensuring accuracy and consistent tone.

  • Coordinate team calendars to ensure events, appointments, and internal meetings are organized and communicated effectively.

  • Support process improvements by identifying communication gaps, suggesting workflow enhancements, and maintaining updated documentation.

Requirements
  • Exceptional written communication skills in English, adaptable for professional client interactions.

  • Strong attention to detail and organizational skills; able to manage multiple tasks simultaneously.

  • Comfortable working within structured processes while remaining flexible when needed.

  • Proficiency with email management, digital calendars, communication platforms, and general productivity tools.

  • Customer-focused mindset, contributing to smooth operations and excellent client experiences.
