Director of Operations

We are seeking an experienced Director of Operations to lead and oversee the daily operations of a growing Sleep Medicine practice with two locations. This role ensures operational efficiency, regulatory compliance, strong financial performance, and exceptional patient care. You will supervise both clinical and administrative teams, manage financial and operational workflows, support strategic initiatives, and drive continuous improvement across the practice.
Key Responsibilities
1. Operations Management
- Oversee daily operations across two practice locations.
- Develop, implement, and monitor operational policies and procedures.
- Ensure efficient scheduling, patient flow, and adequate staffing levels.
- Hire, train, and supervise administrative and support staff.
- Manage procurement of office equipment and medical supplies.
- Oversee DME/CPAP operations and staff.
- Create and manage budgets, financial forecasts, and reports.
- Oversee billing and coding processes for accuracy and compliance.
- Monitor accounts receivable/payable and optimize collections.
- Conduct financial reviews and recommend profitability improvements.
- Implement cost-saving strategies.
- Ensure compliance with HIPAA, OSHA, and relevant healthcare regulations.
- Maintain policies that protect patient information and practice integrity.
- Conduct regular audits for clinical and administrative compliance.
- Implement safety protocols and ensure staff are trained for emergencies.
- Maintain a high standard of patient care and satisfaction.
- Resolve patient concerns promptly and professionally.
- Oversee patient record accuracy, confidentiality, and compliance.
- Implement systems to gather and act on patient feedback.
- Recruit, train, and supervise support staff and sleep lab personnel.
- Conduct performance evaluations and provide coaching.
- Lead staff meetings and ensure clear internal communication.
- Implement professional development and continuing education programs.
- Foster a positive, collaborative work environment.
- Collaborate with leadership to set and execute long-term goals.
- Identify opportunities for expansion, partnerships, and new services.
- Monitor industry trends to keep the practice competitive.
- Develop and implement marketing strategies for patient growth.
- Oversee EHR and practice management software use and optimization.
- Ensure staff are properly trained on all systems.
- Identify ways to use technology to improve workflow and care quality.
Qualifications
- Bachelor's degree in Healthcare or Business Administration (Master's preferred).
- At least 5 years of medical practice management experience.
- Strong understanding of HIPAA, OSHA, CMS guidelines, and healthcare regulations.
- Experience in budgeting, billing, and revenue cycle management.
- Excellent leadership, communication, and interpersonal skills.
- Proficiency with EHR systems, practice management tools, and Microsoft Office.
- Strong problem-solving, organizational, and critical-thinking abilities.
- Knowledge of third-party payers, Medicare, Medicaid, HMOs, PPOs, authorizations, and insurance workflows.
- Ability to analyze financial data and operate in a dynamic environment.
- Willingness to travel between practice locations as needed.
